Duties
- Oversee all office operations, including managing supplies, equipment, and facility maintenance to ensure a seamless work environment
- Coordinate front desk activities such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Manage calendar scheduling, appointment setting, and calendar management for executives and team members using productivity software like Microsoft Office and Google Workspace
- Handle data entry, filing, proofreading, and document management with high accuracy to support administrative workflows
- Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and basic financial recordkeeping
- Provide excellent customer service by addressing inquiries promptly and supporting client interactions in a professional manner
- Assist with special projects such as event planning or office organization initiatives to enhance overall productivity and workplace morale
Requirements
- Proven experience in office management or administrative roles with strong clerical experience and office experience
- Proficiency in computer literacy including Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with productivity software
- Technical proficiency with multi-line phone systems, data entry tools, and basic bookkeeping applications like QuickBooks
- Exceptional organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Excellent communication skills with strong phone etiquette; bilingual abilities are a plus for supporting diverse teams or clients
- Prior experience as a front desk receptionist or medical/dental receptionist is advantageous
- Personal assistant experience or background in customer support roles will be highly valued
