Sales & Rental Operations Coordinator

Location: Charlotte, NC (Onsite - Corporate Office)

Job Type: Full-Time | Day Shift | Monday – Friday

Compensation: $47,500 – $52,000+/ year (Based on experience) + Full Benefits & Profit Sharing

We are hiring a Sales & Rental Operations Coordinator to serve as the central hub managing order processing, rental contract coordination, fleet inventory, and cross-departmental communication at our Charlotte corporate office.

What You’ll Do (The Impact)

As our Operations Coordinator, you will manage behind-the-scenes logistics, billing details, and contract execution to ensure flawless customer delivery.

Order Processing & Contract Management: Review, process, and track customer orders for new, used, and rental equipment. Manage lease agreements, purchase orders, invoices, and sales contracts.
Rental & Fleet Coordination: Assist with rental contract setup, stock list tracking, trade-in processing, equipment delivery scheduling, and warranty registrations.
Cross-Departmental Liaison: Act as the main communication bridge connecting Sales Representatives, Service Technicians, Rental Managers, Customers, Leasing Companies, and Manufacturers.
Billing & Administrative Support: Support order accuracy verification, invoicing reports, gross profit review, and vendor record management.
Customer & Branch Support: Provide rapid administrative response for urgent customer inquiries, branch order updates, and overflow support for sales teams.

Qualifications & Required Skills

What We’re Looking For
We are seeking a sharp administrative or logistics professional who thrives in a fast-paced environment. Industry-specific material handling knowledge is helpful, but not required—we will train you on our equipment!

Experience: 1+ years in Sales Coordination, Rental Operations, Logistics, Fleet Management, Dispatch, Order Processing, Dealership Support, or high-volume Customer Service / Administrative roles.
Education & Credentials: High School Diploma or GED required; valid Driver’s License required.
Technical Skills: Proficiency with Microsoft Office Suite (Excel, Outlook, Teams, Word) and comfortable learning internal ERP/inventory management software.
Core Competencies: Exceptional attention to detail, proactive follow-through, strong written/verbal communication, and the ability to prioritize shifting tasks.
