Hours: 8:00 AM – 5:00 PM, with flexibility for occasional early mornings and later evenings based on business needs.
Compensation: Approximately $85,000 - $95,000 + eligible for any overtime after 40 hours.
Position Type: Full-time, In-Office

Position Overview
A well-established private family office is seeking two energetic, polished, and highly organized Administrative Assistants / Corporate Hosts(esses) to support daily operations across its Great Neck and Manhattan offices.
This is a unique hybrid role combining administrative support with hospitality and office operations. The successful candidates will ensure both offices are organized, welcoming, and operating efficiently while providing exceptional service to principals, executives, employees, and guests.
Candidates should be comfortable working from either office location as business needs require and thrive in a fast-paced, team-oriented environment.
Responsibilities
- Provide administrative support including calendar management, meeting coordination, and scheduling
- Welcome and assist guests, ensuring a professional and hospitable office environment
- Coordinate conference room setup, catering, refreshments, and meeting logistics
- Assist with family office events, meetings, luncheons, and special gatherings
- Pick up, deliver, and set up food, beverages, and supplies for meetings and events
- Maintain kitchens, conference rooms, dining areas, and common spaces to the highest standards
- Manage inventory and ordering of office, kitchen, and hospitality supplies
- Process invoices, expense reports, purchase requests, and other administrative documentation
- Coordinate mail, deliveries, courier services, and package distribution
- Organize electronic and physical filing systems while maintaining confidentiality
- Support employee onboarding, office functions, and special projects
- Coordinate with household managers, vendors, and operational teams as needed
- Create floral arrangements and maintain a polished, client-ready office environment
- Assist with light kitchen duties, including dishes and linens following meetings and events
Requirements
- 2–4 years of experience in hospitality, food & beverage, executive support, office administration, or a similar client-facing role
- Previous experience in a private family office, corporate office, luxury hospitality, or high-end service environment preferred
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Comfortable interacting with executives, principals, and VIP guests
- Professional appearance with a warm, service-oriented demeanor
- Flexible schedule with availability for occasional early mornings and late evenings
- Comfortable working from both the Great Neck and Manhattan offices as needed
- Professional, punctual, and highly reliable
- Strong communication skills and exceptional attention to detail
- Positive attitude with a hospitality-first mindset
- Ability to maintain strict confidentiality
- Valid driver's license preferred
