Duties and Responsibilities (*denotes Essential Functions):
- Provide administrative, program, and general office support in the Information Technology Services (ITS) Client Service and Operations Center (CSOC) group.
- Assist with logistics, coordination, and administrative support related to onboarding and offboarding CSOC full time and student employees.
- Assist with scheduling of full-time staff to meet operational requirements.
- Recruit, retain, evaluate, and manage student employees and provide direction to them. Schedule students to meet operational requirements.
- Assist with recording, tracking, and invoicing UH units for services and software licensing offered through CSOC.
- Assist with planning and coordinating events, presentations, and projects, including responsibility for logistics, travel planning, communications, and recordkeeping.
- Maintain effective communication with staff, management, and executives at both internal and external organizations as required to support ITS.
- Create, update, and maintain communication content for the broad University community and ITS employees across various media, including the public ITS website, the ITS employee Intranet, wiki spaces, and ITS-managed knowledge bases.
- Assist with collecting, processing, and providing preliminary analyses, summaries, and reporting of data used for planning, decision making, and policy purposes.
Assist program and project managers with project administrative tasks, including but not limited to meetings, status and project reports, and presentations.
Develop and maintain recordkeeping systems.
Prepare and maintain documentation of operating procedures and practices.

Minimum Qualifications
Possession of a baccalaureate degree in Liberal Arts, Business Administration or related field and 0 year(s) of progressively responsible professional experience with responsibilities for N/A; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.
Functional knowledge of principles, practices and techniques in the area of support services and customer relationship management demonstrated by knowledge, understanding and ability to apply concepts, terminology.
Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with project coordination and/or program management.
Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of project coordination and/or program management.
Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
Demonstrated ability to operate a personal computer, apply word processing software, and use productivity software such as Google Workspace, particularly Gmail, and the Microsoft Office suite of software.
Demonstrated ability to effectively multitask and meet deadlines.
Demonstrated ability to work with a broad range of constituents and peers.
Demonstrated attention to detail.
Experience managing communication to broad audiences across multiple media.
Ability to work a flexible or variable work schedule as required to support project or operational activities.
Ability to accept and follow simple and complex instructions.
Desirable Qualifications
Additional years of experience in project coordination/management or administrative services.
Familiarity with software for web content management.
Familiarity with software for presentations and project management.
Experience working with information technology organizations.
Knowledge of the University of Hawaii and Information Technology Services organizational structure & services.
Work experience in a higher education institution.
Experience supervising and coordinating work efforts for employees.
