Position Summary:
The Office Manager plays a key role in keeping the Company’s corporate office organized, welcoming, secure, and running smoothly each day. Based in the Kingsburg office, this position has a broad and varied scope, including facilities and vendors, technology coordination, fleet administration, and employee support. The position also serves as a key administrative partner to Human Resources, supporting onboarding, benefits administration, training and certification tracking, policy administration, and other day-to-day HR processes.

Essential Functions:
Employee & Human Resources Support:

Serve as a key day-to-day administrative partner to Human Resources, supporting employee onboarding, benefits and retirement plan administration, policy acknowledgments, employee communications, and other assigned HR processes.

Oversee employee training and certification tracking, including upcoming requirements, expirations, and appropriate follow-up.

Coordinate employee security badging, site access requirements, and related administrative processes, helping employees navigate requirements and escalating issues as appropriate.

Support the planning and coordination of Company-wide meetings, employee programs, recognition activities, Safety Day, community outreach, and other Company events and activities.
Office & Facilities:

Oversee the day-to-day needs of the corporate office and support office and facility needs across the Company’s satellite offices in partnership with local office contacts.

Ensure Company offices are professional, appropriately supplied, secure, and prepared to support employees and business needs.

Manage facility vendors and services, including evaluating needs, resolving routine issues, and recommending solutions.

Oversee office purchasing and workplace needs, including supplies, furniture, equipment, access, keys, and related services.

Ensure the corporate office is properly closed and secured at the end of the business day.

Serve as a designated contact for building security notifications and dispatch calls and coordinate appropriate follow-up as needed.
Technology & Communications:

Serve as the primary administrative liaison with the Company’s managed IT service provider and manage the help desk process, ensuring employee technology needs are appropriately routed, tracked, and escalated as needed.

Oversee technology equipment ordering, deployment, inventory, replacement, and return, including equipment needs related to employee onboarding and offboarding.

Administer Company mobile phones and maintain employee directories, Outlook distribution groups, calendars, and other assigned communication and administrative resources.
Administrative Support:

Provide administrative support to Company leadership and departments, independently managing assigned projects and special initiatives within established areas of responsibility.

Arrange employee business travel and related logistics, addressing changes or issues as needed.

Evaluate administrative processes and recommend and implement practical improvements to increase efficiency, service, organization, and consistency.
Fleet & Asset Administration:

Administer the Company’s fleet management system in support of the Fleet Manager, including user access, vehicle and device assignments, system updates, and administrative reporting.

Maintain inventory records for assigned Company technology, administrative assets, and emergency supplies.

Help coordinate the organization and effective use of the Company’s corporate warehouse, shop, and storage areas in partnership with the responsible departments.

Coordinate Company storage needs and storage units.
Workplace Compliance:

Coordinate administrative support for workplace safety, emergency preparedness, and compliance activities in partnership with the responsible departments.

Maintain first aid supplies and emergency information and materials for Company offices and vehicles, including vehicle binders.

Coordinate and maintain required workplace and jobsite postings, including applicable labor law and compliance notices.

Assist with the assembly and coordination of project startup and other compliance-related administrative documentation as assigned.
Records & Administrative Systems:

Maintain assigned Company records, filing systems, and document retention practices, ensuring information is organized, current, and appropriately safeguarded.

Manage Company-wide distribution and acknowledgment of policies and administrative documents through electronic document management systems.

Maintain confidentiality and exercise appropriate discretion in handling sensitive Company and employee information.
Visitor & Reception Management:

Serve as the primary point of contact for visitors and general office inquiries, providing a professional and welcoming first impression while maintaining appropriate building security.

Respond to calls routed through the Company’s automated phone system and manage visitor access, incoming and outgoing mail, deliveries, shipping, and other reception needs.
Perform other duties and responsibilities as assigned to support Company needs.
Knowledge, Skills, and Abilities:

Bachelor’s degree in Business Administration, Human Resources, or a related field preferred; equivalent relevant experience will be considered.

Minimum three (3) years of progressively responsible experience in office management, business administration, human resources support, or a related administrative role.

Human Resources experience, including employee onboarding, benefits administration, training coordination, policy administration, or related employee support functions, strongly preferred.

Demonstrated ability to exercise discretion and independent judgment, establish priorities, evaluate alternatives, and independently resolve administrative matters within established areas of responsibility.

Strong organizational and time management skills with the ability to manage multiple priorities, frequent interruptions, and changing business needs while maintaining accuracy and follow-through.

Valid driver’s license and ability to drive locally as needed for mail, shipping, purchasing, errands, and other Company business.

Must successfully pass a pre-employment drug screening and background check.

Must be able to meet customer or government-required background and security screening requirements as needed. The position may require eligibility to obtain and maintain a government security clearance based on future business or assignment needs.
Environmental Conditions:

Primarily works indoors in a professional office environment with frequent interaction, changing priorities, and unscheduled interruptions.

Occasional visits to construction jobsites with exposure to weather conditions, uneven terrain, noise, and other typical site conditions.

Occasional evening or weekend work may be required to support Company events or business needs.

Occasional travel and mobility between Company offices, jobsites, vendors, and other work locations may be required.
