As the Legal Receptionist you will be the first point of contact for potential clients and current client calls and questions. The Legal Receptionist must be personable, organized, dependable, flexible, be able to multitask and be computer literate. The Legal Receptionist duties will include offering administrative support by answering incoming phone calls from clients inquiring about their employment case among other office duties.
Responsibilities
- Answer, screen, and forward high-volume incoming phone calls politely and professionally
- Collecting short summaries from potential new clients
- Route calls to appropriate team member
- Scheduling hearing and calling departments for department/case information
- Calling medical offices for client records
- Perform data entry and general administrative tasks
- Directing the flow of mail, emails, and deliveries to reach the intended recipients
- Must be proficient in MS Office, Outlook
- Assisting with copying, scanning, and faxing documents
- Regularly checking mail and mailing out documents
- Ordering and replenishing office supplies.
- Support other employees and help keep office organized
- Assist in drafting potential client declination emails and letters, as well as client termination and close out letters
- Occasionally make trips to the post office and Fedex
- Sending out daily reminders to attorneys and staff
- Proficient in Spanish is a plus
