We are looking for a highly organized, friendly, and dependable Front Desk / Assistant Coordinator to join our growing home health agency.
This is more than a front desk position. You will play a vital role in supporting our patients, caregivers, and office staff while helping ensure our daily operations run efficiently. Front Desk & Reception
- Greet patients, caregivers, visitors, and vendors in a professional and welcoming manner.
- Answer and direct incoming phone calls promptly and courteously.
- Respond to general inquiries regarding agency services.
- Maintain a clean, organized, and professional reception area.
- Receive deliveries and distribute mail and office correspondence.
- Manage office supplies and distribute caregiver supplies as needed.
Scheduling & Operations
- Assist with scheduling Home Health Aides (HHAs) and coordinating daily assignments.
- Communicate schedule updates, call-outs, shift changes, and coverage requests to caregivers and clients.
- Help resolve scheduling conflicts and last-minute staffing needs.
- Support Case Coordinators with daily operational and administrative tasks.
- Maintain accurate scheduling records and update company software in real time.
- Ensure continuity of care by assisting with daily staffing needs.
- Patient & Caregiver Support
- Conduct courtesy calls to patients to confirm satisfaction with services and address concerns.
- Perform follow-up calls regarding appointments, schedule changes, and service updates.
- Provide excellent customer service to patients, families, and caregivers.
- Document patient and caregiver communications accurately.
Requirements
- Proven customer service experience (healthcare or home health preferred)
- Experience working in a home health agency, medical office, or healthcare setting
- Bilingual English and Spanish (Required)
- High School Diploma or GED (Associate degree is a plus)
- Excellent organizational and multitasking skills
- Strong attention to detail
- Professional phone etiquette and communication skills
- Ability to prioritize and remain calm in a fast-paced environment
- Strong computer skills and ability to learn scheduling software
- Reliable, punctual, and accountable
- Ability to work independently and as part of a team
