ESSENTIAL JOB FUNCTIONS:
- Assist with the management of daily operations, including coordinating with various departments to ensure smooth operations
- Assist with the management of policies and procedures to improve operations
- Manage and maintain the CHD Incident Management application
- Support internal investigations as requested
- Cultivate and implement operational strategies to improve efficiency and productivity
- Collaborate with other team members to identify and resolve any issues or concerns
- Receive internal and external inquiries, bring these forward to team members and follow up as directed in a timely and professional manner
- Schedules, supports and tracks documentation of internal audits (e.g., Representative Payee Accounts, Clinical Records, and timely submission of CARF required documentation) as assigned.
- Supports functions related to policy management.
- Supports functions related to accreditation continuous readiness and reaccreditation preparation. Informs the relevant team members when items due are not received on time.
- Maintains required documents, compliance and quality data, reports needed for regulatory, accreditation and licensing entities (e.g., MA Department of Public Health , MA Department of Mental Health, CT Department of Mental Health and Substance Use Services, Commission on Accreditation of Rehabilitation Facilities, CARF). Ensures these are up to date and readily available for unannounced visits.
- Completes data entry as assigned accurately and in a timely manner. Runs regular reports related to quality and compliance data as assigned.
- Works with compliance team and other staff members to prepare for regulatory audits and licensing visits.
- Works with the OE team members to track corrective action plans, audit recommendations, and quality improvement projects to ensure implementation, effectiveness, and completion.
- Monitors and communicates with staff and program management to ensure follow-up action is taken to ensure Corrective Action Plans (CAP) s and performance improvement plans are fully implemented and followed through until completed.
- Works with the Human Rights Coordinator to triage and follow-up on items related to clients’ human rights, Human Rights Committee meetings and Human Rights Officers’ meetings.
- Works with Health Information Manager to support the processing of medical records, tracking released medical records, and other assignments related to HIM.
- Perform other duties as assigned.
- Support members of the internal investigations team, which can include review of records for timeline development, verification of policy/procedure compliance or variance and support for other investigatory tasks as assigned.
- Track action plans based on issues that arise from investigation findings in support of the lead investigator.
- Track completion of assigned actions and secure back up documentation.

- Experience with creating, organizing and maintaining documentation.
- Strong desire to learn and engage in the functions of compliance risk and performance improvement
- Ability to professionally engage with staff at all levels, in person, via email and virtual meetings.
- Excellent time and task management skills.
- Valid driver’s license and transportation is required.
