The Asset Manager is responsible for overseeing Moon Valley Nurseries' asset management, inventory control, and compliance programs across multiple locations and operating states. This role ensures company assets—including fleet vehicles, trailers, equipment, tools, and operational inventory—are accurately tracked, properly registered, compliant with federal and state regulations, and available to support daily business operations.
The Asset Manager serves as the primary administrator for asset tracking, inventory optimization, fleet registrations, licensing, taxes, insurance coordination, tolling, and regulatory compliance while driving process improvements that increase operational efficiency, reduce costs, and minimize organizational risk.
Working cross-functionally with Procurement, Fleet Operations, Finance, Safety, EHS, Logistics, Operations, and external vendors, this position ensures company assets are effectively managed throughout their lifecycle while supporting strategic business objectives.
Key Duties and Responsibilities
Asset & Inventory Management

Oversee the company's asset and inventory management processes across multiple locations.

Monitor and maintain accurate records for fleet vehicles, trailers, equipment, tools, and operational assets.

Implement and maintain asset tracking systems to accurately record asset acquisitions, transfers, assignments, maintenance, and disposals.

Maintain accurate inventory databases, including quantities, locations, asset values, utilization, and lifecycle information.

Generate reports on inventory levels, asset utilization, trends, discrepancies, and operational performance.

Conduct routine audits and physical inventories to ensure asset accuracy and accountability.

Identify opportunities to improve asset utilization while reducing unnecessary purchases and operating costs.
Registration, Titling & Regulatory Compliance

Process vehicle and equipment registrations, renewals, titles, lien releases, title transfers, and California title transactions across all operating states.

Coordinate registration services with third-party DMV providers and government agencies.

Administer the company's International Registration Plan (IRP), including apportioned registrations, cab cards, and jurisdictional updates.

Prepare and support quarterly International Fuel Tax Agreement (IFTA) filings by collecting and validating mileage and fuel data from telematics systems.

Prepare and file Federal Heavy Vehicle Use Tax (HVUT) Form 2290 returns and maintain Schedule 1 documentation.

Manage CARB Clean Truck Check requirements, emissions certifications, and other state environmental compliance programs.

Track all registration, licensing, tax, inspection, and compliance deadlines to ensure timely renewals.

Resolve suspended registrations, SR-22 filings, title issues, and other regulatory compliance matters.
Asset Administration

Administer fleet insurance by coordinating vehicle additions, removals, certificates of insurance, and insurance ID cards with brokers.

Manage toll accounts and transponders, reconcile charges, and resolve disputes across multiple states.

Coordinate lease vehicle registrations, title transfers, and state registration changes with leasing partners.

Process traffic citations, toll violations, registration notices, and related compliance correspondence.

Retrieve dashcam and event footage as requested in coordination with Environmental Health & Safety (EHS) and Safety teams.

Maintain Fleetio and other asset management systems to ensure registration status, inspections, assignments, and asset records remain current.
Inventory Planning & Vendor Management

Collaborate with Procurement and Operations to forecast inventory needs and develop replenishment strategies.

Develop strong working relationships with vendors, registration providers, insurance partners, leasing companies, and government agencies.

Support procurement activities by coordinating lead times, vendor communications, and asset acquisition documentation.
Quality Assurance & Risk Management

Partner with Operations and Quality teams to ensure assets and inventory meet established company standards.

Conduct periodic audits and inspections to verify inventory accuracy and regulatory compliance.

Identify and mitigate risks related to asset loss, theft, obsolescence, damage, compliance violations, and improper utilization.

Develop and implement procedures that strengthen internal controls and reduce organizational risk.
Reporting & Process Improvement

Develop reports and dashboards providing visibility into asset utilization, inventory performance, regulatory compliance, and operational metrics.

Evaluate existing asset management processes and identify opportunities for automation and continuous improvement.

Recommend and implement workflow improvements that increase efficiency, accuracy, and compliance.

Leverage asset management, inventory, and business software to improve reporting, visibility, and operational decision-making.
Cross-Functional Collaboration

Collaborate with Finance, Procurement, Fleet Operations, Safety, EHS, Logistics, and Operations to align asset management strategies with business objectives.

Provide documentation and records supporting DOT/FMCSA compliance programs and regulatory audits.

Serve as the primary internal resource for asset management, registration, licensing, and compliance questions.

Train employees involved in inventory and asset administration on policies, procedures, systems, and best practices.
Qualifications: Knowledge, Skills & Abilities

Three (3) or more years of experience in asset management, inventory management, fleet administration, logistics, supply chain, or regulatory compliance.

Experience managing asset tracking systems, inventory control, or multi-state registration processes.

Strong knowledge of inventory management principles, asset lifecycle management, and process improvement methodologies.

Proficiency with Microsoft Office Suite, particularly Excel.

Experience using Fleetio or similar fleet and asset management software.

Exceptional organizational skills with the ability to manage multiple priorities and regulatory deadlines.

Strong analytical, problem-solving, and decision-making abilities.

Excellent written and verbal communication skills.

Ability to work independently while collaborating effectively across multiple departments.

Experience with IRP, IFTA, HVUT (Form 2290), DOT/FMCSA regulations, and multi-state vehicle registration.

Familiarity with CARB Clean Truck Check requirements and environmental compliance programs.

Experience with procurement, inventory forecasting, and vendor management.

Knowledge of fleet insurance administration and lease management.

APICS CPIM, CSCP, CAFM, or other inventory, supply chain, or asset management certifications.

Experience supporting large, multi-state operations.

While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 45 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
