Administrative Assistant / Assistant Project Manager — Construction
Location: Fort Lauderdale / Palm Beach, Florida area (on-site)
Compensation: $45,000 – $55,000 base, plus benefits

Position Summary
We are seeking a bilingual, highly organized Administrative Assistant / Assistant Project Manager to support construction operations in the Fort Lauderdale / Palm Beach, Florida area. This hybrid role combines administrative coordination, light bookkeeping, and hands-on project support, making it ideal for a detail-oriented professional with a construction background who is looking to grow. The ideal candidate is fluent in English and Spanish, proficient with QuickBooks, Procore, and Excel, and able to serve as a communication bridge between office staff, field crews, subcontractors, and clients. Experience in the solar or renewable energy sector is a strong plus.
Key Responsibilities
- Provide day-to-day administrative support to the project management and operations team.
- Perform light bookkeeping tasks in QuickBooks, including data entry, accounts payable/receivable support, expense tracking, and reconciliations.
- Assist the Project Manager with tracking project schedules, documentation, and deliverables in Procore.
- Maintain and organize project files, contracts, permits, certificates of insurance, and compliance records.
- Help prepare, process, and track submittals, RFIs, change orders, purchase orders, and invoices.
- Build and maintain spreadsheets, logs, and reports in Excel.
- Serve as a bilingual point of contact, translating and communicating between English- and Spanish-speaking team members, field crews, and subcontractors.
- Coordinate scheduling, meetings, travel, and correspondence for the project team.
- Assist with onboarding documentation and timekeeping for field personnel.
- Support procurement by tracking material orders, deliveries, and vendor communications.
- Answer phones, manage incoming correspondence, and provide general office support.
Required Qualifications
- Bilingual — fluent in English and Spanish (written and verbal).
- Prior experience in the construction industry in an administrative, coordination, or assistant project management capacity.
- Proficiency with QuickBooks, Procore, and Microsoft Excel.
- Comfortable handling light bookkeeping and basic accounting tasks.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Located within commuting distance of Fort Lauderdale or Palm Beach, Florida (on-site).
Preferred Qualifications
- Experience in the solar or renewable energy sector.
- Familiarity with additional construction document management and scheduling tools.
- Associate's or Bachelor's degree in Business, Accounting, Construction Management, or a related field.
- Prior experience supporting field crews and subcontractors.
- Prior bookkeeping or accounting support experience.
Compensation & Benefits
