We are seeking a detail‑oriented and highly organized Payroll & HR Coordinator to join our team. This position plays a key role in ensuring accurate payroll processing, full Prevailing Wage compliance, and providing day‑to‑day support across the Human Resources function. If you enjoy a mix of payroll, compliance, and hands‑on HR work, this role offers a great blend of responsibilities.
Payroll Administration
- Process weekly payroll with accuracy and confidentiality
- Audit timecards and resolve discrepancies with supervisors
- Maintain payroll records for new hires, terminations, pay adjustments, and deductions
- Ensure compliance with federal, state, and local wage and hour laws
- Prepare payroll reports for HR and Finance
Payroll Tax Responsibilities
- Complete weekly payroll tax submissions
- Prepare and file quarterly payroll tax reports (e.g., Form 941, state wage reports)
- Manage year‑end payroll tax activities including W‑2 processing and reconciliation
- Maintain accurate tax documentation and ensure timely filings
Prevailing Wage Compliance
- Manage Prevailing Wage requirements from start to finish
- Prepare and submit certified payroll reports
- Verify correct worker classifications and wage rates
- Maintain documentation for audits and agency reporting
HR Support
- Assist with onboarding including new‑hire paperwork and I‑9 verification
- Maintain employee files and HRIS data integrity
- Support benefits administration and open enrollment
- Assist with recruitment tasks such as posting jobs and scheduling interviews
- Respond to employee questions regarding payroll, benefits, and HR policies
- Support HR projects, audits, and compliance initiatives
What We’re Looking For
Required
- 2+ years of experience in payroll, HR support, or a related administrative role
- Strong understanding of wage and hour laws
- High attention to detail and accuracy
- Proficiency in Microsoft Office (Excel, Outlook, Word)
- Ability to maintain confidentiality and handle sensitive information
- Strong communication and customer‑service skills
Preferred
- Experience with Prevailing Wage or Certified Payroll
- Experience with HRIS or payroll systems
- Background in construction, property management, or similar industries
