Reports to: Revenue and Services Director
The Event and Services Manager (ESM) is responsible for ensuring that all event logistics and services within the park are coordinated and executed seamlessly while maintaining the landscape, beauty, and overall integrity of the park. This position plays a key role in supporting successful events, creating a positive experience for clients and guests, and protecting the park’s natural and aesthetic environment.
The Event and Services Manager will conduct park walkthroughs for potential licensees, showcase the park’s capabilities and opportunities, and provide support to the sales teams of our stakeholders throughout the event-planning and licensing process.
Essential Duties and Responsibilities:

Planning Pod calendar including data entry, reporting, and contracts:

Post all revenue events to calendar in Planning Pod.

Collect and post logistics, financial information and attendance to event records

Communicate deadlines for payment and documents

Inform Operations team Project Manager with event setup details

Review site maps and timelines submitted by licensees
-
Schedule all outside vendors needed for revenue producing events

Assist in creating reports for revenue and services as needed, including
-
Pre-season projections and post-season recaps
-
Venue License forecasting
-
Budget and interim reporting

Coordinate and communicate logistics for Revenue and Services:

Post all logistical information to event database record
-
Be the onsite contact and execute any load in/ROS/load out as needed.

Prepare, send and manage contracts for venue licenses, sampling, vendors and birthdays

Collect contractor payment information including W9, ACH – Collect COI for vendors and licensees

Review and submit contractor invoices to appropriate department; post data to event record

Manage all requested services, including scheduling, fencing, cleaning, security; following up with submitting invoices.

Assist with data entry and reporting for Revenue and Services

Other duties as assigned; all Conservancy employees work together as a team and frequently assist each other in every department when needed.
Requirements:
Minimum Qualifications (Knowledge, Skills, and Abilities):

Must be able to lift over 50 pounds and willing to work outside when needed.
