Job Summary
We are seeking a dynamic and detail-oriented Information Management Specialist to lead the organization, preservation, and security of vital records and information assets. Duties
- Manage and maintain document management systems such as SharePoint, iManage, and other content management platforms to ensure accurate storage, retrieval, and security of records.
- Develop and implement metadata schemas and taxonomies to categorize digital and physical records effectively, facilitating easy access and compliance.
- Oversee records retention schedules in accordance with organizational policies and regulatory requirements, ensuring proper disposal or archival of documents.
- Conduct archival processing following archival standards to preserve historical records while maintaining accessibility for current needs.
- Ensure compliance with records management regulations by monitoring adherence to policies related to electronic records management, physical records management, and government records management.
- Support digitization initiatives by converting physical records into electronic formats while maintaining data integrity and security.
- Collaborate with cross-functional teams to improve information governance practices, enhance data security measures, and streamline filing procedures.
- Proofread and review documentation for accuracy, clarity, and consistency before finalization or submission.
- Provide training and guidance on document management best practices to staff across departments.
- Maintain detailed logs of record activities including filing, retrievals, audits, and disposition actions to support transparency and accountability.
Experience
- Proven experience working with document management systems such as SharePoint, iManage, or similar content management platforms.
- Strong knowledge of metadata creation, taxonomy development, and classification schemes for effective information organization.
- Familiarity with records retention policies, regulatory compliance management, and information governance frameworks.
- Experience managing both electronic records management systems (ERMS) and physical records within government or corporate environments.
- Demonstrated ability to handle archival processing according to established standards while ensuring long-term preservation of records.
- Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) for documentation and reporting purposes.
- Background in digitization projects with an understanding of archival standards for digital conversion processes.
- Knowledge of information security principles related to sensitive or classified data handling.
- Previous administrative experience supporting record-keeping functions within a regulated environment is preferred.
