Colonial Heights Presbyterian Church (CHPC) in Kingsport, TN seeks a Church Digital Communication and Administration Specialist (DCAS) to assist with the overall communication and administration of the church to better fulfill its mission of ministering to the spiritual, emotional, and physical needs of all of God’s people. The primary focus of this position will be to oversee the communication avenues, daily administration, and the property management of the church. This part-time position (i.e. 32 hours per week) is accountable to the Head of Staff and works closely with the Session, Finance, Administration and Planning (FAP) and Building and Facilities Committees (B&F).
Responsibilities
I. Communication
- Maintain all church correspondence as required through the various digital avenues utilized by the church, including but not limited to the website, Facebook, Instagram, YouTube, online newsletter, etc.
- Create the weekly newsletter and other special announcements as needed, working with staff members and church leaders to share appropriate information regularly.
- Assist ministry teams to implement effective communication messages and strategies for church and community audiences.
- Maintain church website and all social media accounts.
- Ensure communications align with and leverage church mission and vision.
- Assist with the creation of the Sunday worship bulletins and other bulletins as needed throughout the year.
- Standardize messaging across all platforms.
- Serve as primary contact for church members regarding church communication.
II. Administration - Assist with the daily management of church operations, including:
- Functioning as a point of contact for members, guests, and vendors.
- Answering phones, responding to emails, and maintaining office supplies.
- Coordinating volunteers and contracted workers as needed.
- Preparing for Session meetings by distributing materials and interfacing with Elders and Committee members as needed.
- Providing administrative support to pastoral and programmatic staff, and various ministry teams.
- Administering the Pastor’s Fund to aid in community benevolence with Pastor.
- Maintaining the church calendar, including: managing appointments, meetings, and room schedules for the staff and congregation and coordinating with committees and members on requested property needs, such as funerals, weddings, Boy Scouts, Sunday fellowship lunches, retreats, etc.
- Maintaining accurate church membership records, and ensuring various church databases and information systems are updated for reporting purposes
- Understanding the operation of and overseeing the maintenance of office systems and equipment including educational training, records retention, and replacement procedures.
- Procuring new business products and solutions as directed by the Head of Staff or appropriate church committee.
- Working with the Church Financial Administrator to ensure appropriate billings have been paid in a timely manner.
- Serving as point of contact for technological inquiries and issues for the church.
III. Property Coordination
- Oversee the cleaning and re-setting of the church buildings for Sunday morning worship services, Christian education and Day School classes, fellowship gatherings, weddings, funerals, and weekly cleaning of the office building.
- Oversee the maintenance and security of the church buildings’ equipment and operations.
- Be on call for any emergencies that occur during normal work hours.
- Serve as liaison with the Building and Facility Committee to assist them with the management and maintenance of church property.
Supervision:
The DCAS will be accountable to the Pastor/Head of Staff who will provide administrative supervision.
Time Required: Part Time (32 Hours per Week) Additional time may be required during certain periods of the year such as Advent or Holy Week.
Education/Competencies:
● High School education
● Ability to problem solve and navigate information systems preferred.
● Proficient in Microsoft Office Suite of Products (i.e., Excel and Word).
