Kairos Home Care Services is a growing Nurse Registry serving clients and families throughout Central Florida. We are looking for a Staffing & Administrative Coordinator to join our team and support our caregiver staffing, scheduling, onboarding, and administrative operations.
This is a hands-on, in-office part-time opportunity with the potential to transition to full-time based on business needs, performance, reliability, and the ability to successfully take on the responsibilities of the position. The ideal candidate is organized, dependable, professional, responsive, and comfortable communicating with caregivers and office staff in a fast-paced environment.

POSITION SUMMARY
The Staffing & Administrative Coordinator supports the daily operations of the Nurse Registry by assisting with caregiver staffing, scheduling coordination, caregiver onboarding, credentialing follow-up, and general administrative duties. This position works closely with the Service Coordination and HR/Caregiver Credentialing teams and is an important part of helping ensure open shifts are addressed, caregivers receive timely communication, and administrative tasks are completed accurately. The ideal candidate is a strong communicator who takes initiative, follows through on assignments, and understands the importance of accuracy and confidentiality in a healthcare environment.
KEY RESPONSIBILITIES
Assist with identifying available caregivers for open cases and shifts.
Contact caregivers regarding available assignments.
Confirm caregiver availability and interest in assignments.
Follow up with caregivers regarding open staffing opportunities.
Assist with filling uncovered shifts and finding replacement caregivers when needed.
Maintain professional and timely communication with caregivers.
Communicate potential caregiver matches to the appropriate Service Coordinator.
Assist with caregiver/client introductions as directed.
Escalate unresolved staffing concerns to the appropriate team member.
Administrative - Primary
Answer and direct telephone calls professionally.
Respond to routine emails and correspondence.
Prepare forms, documents, and caregiver/client packets.
Scan, upload, and organize electronic documents.
Perform accurate administrative data entry.
Maintain organized electronic records.
Assist with updating caregiver and client information.
Assist with internal reviews and audit preparation.
Provide administrative support to Service Coordinators and management.
Perform other administrative duties as assigned.
Contact caregivers to confirm availability.
Assist with communicating approved schedule changes.
Follow up on uncovered or pending shifts.
Identify potential scheduling conflicts and promptly communicate concerns.
Assist with administrative scheduling updates in AxisCare.
Provide general scheduling support to the Service Coordination team.
Follow established agency procedures when making or communicating scheduling changes.
Assist with receiving caregiver applications and onboarding documents.
Follow up with caregivers regarding missing or incomplete documentation.
Collect and organize required credentials, certifications, and personnel documents.
Upload documents to the appropriate caregiver file.
Track outstanding documentation and follow-up items.
Assist with monitoring credential and document expiration dates.
Send reminders regarding missing or expiring documentation.
Assist with preparing caregiver onboarding packets.
Assist with coordinating required onboarding activities and training.
Notify the HR/Caregiver Credentialing team when requested documentation is received.
Assist with preparing caregiver files for internal reviews and audits.
Perform other duties as directed.

Experience in any of the following is preferred:
Healthcare experience is preferred but not required for the right candidate.
