Rent Now Solutions is a rapidly growing boutique property management firm serving Fort Mill, Rock Hill, South Charlotte, and the greater Charlotte area. We are seeking a Property Management Coordinator who is highly organized, detail-oriented, and enjoys creating structure and efficiency in a fast-moving environment.
Working alongside our collaborative property management team, you'll help create a seamless experience for owners, residents, vendors, and prospective tenants. We're looking for a service-minded professional who is organized, proactive, and passionate about protecting clients' investments while creating positive rental experiences.
Schedule & Work Environment
Monday–Friday 8:30 AM – 5:00 PM
Position is based at our Fort Mill Location, but requires some travel to local properties.
Compensation
- Starting compensation is based on experience with opportunities for increased responsibility and property manager certification.

A Day in the Life
Your day may include a mix of administrative coordination, communication, and property support.
Examples of what a typical day may include:
- Respond to rental inquiries received after business hours
- Schedule or coordinate a showing for a property
- Follow up with prospects who toured but have not yet applied
- Process a rental application and verify employment and references
- Coordinate a repair with a vendor for a tenant maintenance request
- Upload photos and details for a newly available rental listing
- Prepare a lease for approval and coordinate a move-in date
- Track tasks and communication inside the property management software
- Import vendor invoices
- Monthly owner account processing and payouts
Every day includes a variety of tasks, so strong organization and attention to detail are essential.
Key Responsibilities
Leasing & Lead Management
- Monitor website, email, and rental platform inquiries (Zillow, Realtor.com, )
- Respond to leasing questions and follow up with prospects
- Track leads and prospects in property management software (Rentvine)
- Schedule and personally conduct property showings
- Follow up with prospects who toured but have not yet applied
Property Marketing
- Upload listing photos and details to rental platforms
- Remove listings once properties are leased
Application Processing
- Process rental applications in Rentvine
- Verify employment and income
- Verify landlord references
- Compile application summaries for approval
Tenant Communication
- Respond to routine tenant questions
- Send rent reminders and notices
- Coordinate maintenance scheduling with tenants
- Document tenant communication in the property management system
Maintenance Coordination
- Monitor incoming maintenance requests
- Gather photos and details from tenants
- Dispatch approved vendors
- Schedule repairs and follow-ups
- Track work order completion
- Confirm vendor invoices match approved scope of work
Lease & Move-In Coordination
- Prepare lease drafts for approval
- Coordinate security deposit and first month rent collection
- Send move-in instructions and welcome emails
- Coordinate key pickup and move-in scheduling
- Track lease renewal timelines
Turnover Coordination
- Schedule property inspections
- Coordinate cleaning and repair vendors
- Confirm property readiness before listing
Financial & Trust Account Management
- Establish and maintain accurate lease billing within the property management system to ensure proper rent collection.
- Monitor rent collections, manage delinquent accounts, and coordinate required notices and eviction proceedings when necessary.
- Review, approve, and process vendor invoices, ensuring expenses are accurately allocated to the appropriate property.
- Approve maintenance expenses within the spending limits established in each Property Management Agreement and obtain owner approval for expenditures exceeding authorized limits.
- Ensure accurate monthly owner statements and timely owner disbursements by reviewing property income and expenses.
- Maintain accurate financial records and support compliance with company policies.

Requirements
