Business Operations Manager

Position Summary
Grace United Methodist Church is seeking a highly organized, experienced Business Operations Manager to oversee the church’s administrative, financial, facility, personnel, and technology operations.
This position works closely with pastors, staff, Trustees, Finance leaders, volunteers, vendors, community partners, and outside building users to ensure that the church’s day-to-day operations are efficient, safe, well-coordinated, and supportive of its mission and ministries.
Primary Responsibilities
Business and Financial Operations
- Supervise the bookkeeper and review payroll, invoices, payables, deposits, and monthly financial reports.
- Monitor bank accounts, credit cards, certificates of deposit, cash flow, and financial systems.
- Assist with budgeting, account coding, annual compensation updates, benefits, insurance, and financial reporting.
- Maintain and review utility, equipment, software, service, and office contracts.
Facility and Event Management
- Oversee building use, event scheduling, room assignments, setup, deliveries, access, and custodial support.
- Manage the church calendar and coordinate holiday, weather-related, and emergency closings.
- Administer building-use agreements and relationships with outside organizations.
- Coordinate keys, electronic access, door schedules, HVAC schedules, and security procedures.
- Respond to building repairs and coordinate vendors, estimates, inspections, and preventive maintenance.
- Work closely with the Board of Trustees on facility needs, major repairs, insurance, and long-term planning.
Staff and Human Resources Administration
- Supervise designated administrative, custodial, bookkeeping, and support staff.
- Coordinate hiring, background checks, personnel records, orientation, training,
- and employee onboarding.
- Arrange staff coverage and support annual compensation and benefit updates.
- Maintain confidential and accurate personnel records.Safety and Compliance
- Coordinate required building, fire, elevator, kitchen, and safety inspections and licenses.
- Maintain emergency procedures, incident forms, first-aid kits, AED equipment, and other safety resources.
- Monitor insurance policies, workers’ compensation requirements, and risk-management procedures.
- Maintain current copyright, streaming, video, podcasting, and worship licenses.
Technology and Office Administration
- Administer church databases, Google Workspace, Microsoft products, payroll, accounting, giving, communication, and design platforms.
- Manage user accounts, permissions, software renewals, security procedures, phones, and voicemail systems.
- Oversee office, custodial, kitchen, copier, postage, and building supply purchasing.
- Research nonprofit discounts and cost-saving opportunities.
Volunteer and Welcome Desk Coordination
- Recruit, schedule, train, and support weekday Welcome Desk volunteers.
- Maintain Welcome Desk procedures, phone lists, manuals, and coverage schedules.
- Provide administrative support and clear communication to staff, volunteers, and building users.
Qualifications
- Experience in business operations, office administration, finance, human resources, facility management, or nonprofit management.
- Demonstrated experience supervising employees and coordinating volunteers.
- Strong organizational, financial, technology, communication, and problem-solving skills.
- Ability to manage multiple priorities, vendors, deadlines, and confidential information.
- Working knowledge of payroll, budgeting, contracts, insurance, and personnel administration.
- Ability to respond calmly and effectively to urgent building or operational concerns.
- Commitment to supporting the mission and ministry of Grace United Methodist Church.
Preferred Qualifications
- Bachelor’s degree in business administration, nonprofit management, accounting, human resources, facility management, or a related field.
- Experience in a church, nonprofit, school, or community organization.
- Familiarity with Google Workspace, Microsoft products, Gusto, Aplos, Pushpay, Church Community Builder, Canva, Adobe, or similar systems.
Additional Requirements
This position requires regular movement throughout a large, multi-level building and occasional evening or weekend availability for emergencies, inspections, major events, or facility projects.
Employment status: Full-time, 8:00 AM to 5:00 PM with flexibility for monthly meetings, special events, and on-call weekend assistance.
Reports to: Senior Pastor
Compensation: Commensurate with experience
