The Administrative Support Specialist provides administrative and operational support to BrightWorks' Facilities Services Program for school districts in the seven-county metro area. This role contributes to the smooth functioning of programs’ activities by supporting program coordination, including scheduling meetings, reserving meeting space, setting up and managing event registration, communicating with attendees, setting up event space, ordering catering, sending invoices, and general administrative work.
POSITION TYPE
This position is is part-time, 0.2 FTE (52 days). Typically 1 day per week.
NATURE OF WORK
· Hybrid with about 50% time required in-office.
· Coordinate logistics related to BrightWorks' Facilities Services Program events and meetings.
· Communicate information to the programs’ stakeholders and participants.
· Attend/Participate in professional events and outreach activities held at BrightWorks.
· Monday-Friday typical business hours.
DUTIES/RESPONSIBILITIES
These are highlighted responsibilities of the position. An employee in this position may also be required to perform other related duties as assigned.
· Assists with scheduling meetings and coordinating logistics.
· Assist with maintaining program-related records in collaboration with the leadership of the programs.
· Support purchasing processes, invoice processing, and expense tracking to help ensure accurate financial records.
· Provide general administrative support, including data entry, database upkeep, responding to emails and inquiries, updating website content, and organizing digital and physical files.
· Assist with coordinating venue bookings and event logistics, including setup and take down.
· Other Duties as Assigned.
TRAINING/EDUCATION
An associate or bachelor’s degree in education, communications, business, or related field
AND
Two years of experience in event management/planning, administrative work, and database management.
OR
Equivalent combination of education and experience.
LICENSING/SPECIAL REQUIREMENTS
· Current Minnesota driver’s license and personal car.
PREFERRED SKILLS/EXPERIENCE
· Knowledge of coordinating professional development events;
· Excellent writing skills, including grammar, spelling, and composition;
· Using computers and related software applications;
· Strong communication and interpersonal skills to effectively exchange information and give and receive work direction with coworkers, supervisors, and the public.
· Strong organizational and time-management skills.
PHYSICAL REQUIREMENTS
This position requires fingering, grasping, talking, hearing, seeing, and repetitive motions.
Medium Work: Exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to move objects.
Pay: $24.00 per hour
