The Site Manager is responsible for the day-to-day operations and overall performance of the assigned medical practice location. This individual serves as the primary on-site leader and is responsible for ensuring efficient patient flow, appropriate staffing, excellent customer service, regulatory compliance, and a professional and organized work environment.
The Site Manager is expected to take ownership of the facility, identify problems before they escalate, hold staff accountable, and communicate effectively with providers, employees, and senior management.
Daily Operations & Patient Flow
- Oversee all daily operations of the assigned medical facility.
- Ensure the office opens and closes properly and on time.
- Monitor patient flow and minimize unnecessary wait times.
- Ensure front desk and clinical areas are appropriately staffed and organized.
- Monitor daily patient volume, scheduled appointments, walk-ins, no-shows, and cancellations.
- Coordinate with providers and clinical staff to address delays or operational issues.
- Ensure appropriate coverage during employee breaks, call-outs, and high-volume periods.
- Maintain a clean, safe, organized, and professional environment throughout the facility.
Staff Management & Accountability
- Provide direct supervision and leadership to front desk staff, Medical Assistants, and other assigned team members.
- Conduct daily staff huddles and communicate priorities, expectations, and operational updates.
- Monitor employee attendance, punctuality, performance, professionalism, and adherence to company policies.
- Address staff performance or behavioral concerns promptly and professionally.
- Assist with training and onboarding new employees and interns.
- Identify training needs and coordinate additional education or retraining with appropriate departments.
- Maintain appropriate staffing levels and immediately escalate significant staffing concerns to Operations/HR.
- Promote team work and maintain a respectful and productive workplace environment.
Provider Support
- Work closely with physicians, Nurse Practitioners, Physician Assistants, and other providers to support efficient daily operations.
- Ensureproviders have appropriate clinical and administrative support.
- Communicateprovider concerns, scheduling issues, or operational barriers to management.
- Assist in resolving workflow issues that may negatively affect provider productivity or patient care.
Patient Experience
- Ensurepatients receive professional, respectful, and timely service.
- Monitorandaddress patientcomplaints and service concerns.
- Escalate serious complaints, incidents, or potential compliance matters to management when appropriate.
- Encouragepositive patient feedback and monitor opportunities to improve the overall patient experience.
- Maintain patient confidentiality and ensure staff follow HIPAA requirements.
Compliance & Quality Assurance
- Ensurestaff follow organizational policies, clinical protocols, HIPAA requirements, OSHA standards, and applicable regulatory requirements. HR-Version 08.13.26
- Workcloselywiththe Compliance and Quality Assurance teams.
- Ensurerequiredfacility logs, temperature logs, equipment logs, emergency supplies, and other compliance documentation are completed accurately and on time.
- Monitorcompletion ofrequired daily, weekly, and monthly checklists.
- Immediatelyreport patient safety concerns, incidents, compliance issues, or unusual events to appropriate leadership.
- Participate in audits, inspections, corrective action plans, and compliance initiatives as required.
Inventory & Facility Management
- Monitormedical andoffice supply inventory and prevent unnecessary shortages or over ordering.
- Ensure medications, vaccines, supplies, and equipment are appropriately stored and monitored where applicable.
- Report equipment problems and coordinate repairs with the appropriate department or vendor.
- Identify and report maintenance, safety, housekeeping, IT, and facility concerns promptly. Ensure emergency equipment and supplies are readily available and properly maintained
Administrative & Performance Responsibilities
- Complete and submit required daily and end-of-day operational reports.
- Monitor key performance indicators (KPIs) for the assigned location.
- Track patient volume, staffing, complaints, referrals, reviews, operational issues, and other required metrics.
- Review schedules in advance and identify potential staffing or provider coverage problems. Participate in Site Manager and Operations meetings.
- Follow up on assigned action items and meet established deadlines.
- Communicate significant operational concerns to management promptly rather than waiting until the end of the day
