Position Overview
We are a growing managed IT services company looking for a detail-oriented, technically capable Marketing Operations Coordinator to help organize and execute our marketing and outbound sales efforts.
This is not a creative marketing role. The position is best suited for someone who enjoys working inside business systems, maintaining accurate information, coordinating campaigns, following processes, and making sure work moves forward.
The Marketing Operations Coordinator will serve as our primary HubSpot administrator and work closely with our Sales Development Representative, leadership team, and outsourced marketing agency.
Direct HubSpot experience is helpful, but it is not required. We are willing to provide HubSpot training for someone who demonstrates strong technical aptitude, attention to detail, and experience learning similar business platforms.
Primary Responsibilities
HubSpot Administration
- Serve as the primary administrator for our HubSpot platform.
- Maintain contact, company, and prospect records.
- Create and manage lists, campaigns, workflows, sequences, and related marketing assets.
- Monitor data quality and help keep the CRM organized and accurate.
- Import, update, segment, and manage prospect data.
- Help document and improve how the company uses HubSpot.
- Complete HubSpot training and certifications as needed.
Outbound Campaign Coordination
- Work closely with our Sales Development Representative to keep outbound campaigns running.
- Build and maintain prospect lists using online research tools, databases, and other available sources.
- Add qualified contacts and companies to the sales pipeline.
- Set up, monitor, and report on outbound campaigns and sequences.
- Track campaign activity and identify missing information, stalled efforts, or follow-up needs.
- Coordinate campaign schedules, prospect lists, messaging, and supporting materials.
Direct Mail Coordination
- Coordinate the creation and distribution of postcards, mailers, and other direct-mail materials.
- Prepare and verify mailing lists.
- Work with vendors or internal resources to ensure materials are produced and mailed on schedule.
- Connect direct-mail efforts with the appropriate HubSpot campaigns and outbound activities.
- Track campaign completion and responses when possible.
Marketing Coordination
- Coordinate the company’s day-to-day marketing activities.
- Participate in meetings with our outsourced marketing agency.
- Track action items, deadlines, deliverables, and campaign progress.
- Help ensure internal and external marketing efforts remain aligned.
- Assist with future initiatives involving inbound marketing, LinkedIn, Facebook, email marketing, and other channels as the role develops.
- Maintain marketing calendars, documentation, and reporting.
What We Are Looking For
The most important requirement for this role is the ability to learn and confidently work inside technology platforms.
You do not need to be a HubSpot expert on your first day. You do need to be comfortable learning new software, troubleshooting basic issues, organizing information, and following multi-step processes without becoming overwhelmed.
The right person will likely be:
- Technically literate and comfortable learning new systems.
- Highly organized and attentive to detail.
- Reliable about completing recurring administrative work.
- Comfortable working with data, lists, records, and campaign processes.
- Able to manage multiple small projects and deadlines.
- Willing to ask questions, document processes, and solve problems.
- Comfortable working with sales, leadership, vendors, and an outside agency.
- Interested in marketing operations rather than primarily creative work.
- Able to work independently while keeping others informed.
Helpful Experience
Experience with HubSpot is a plus, but experience with other business platforms may be equally relevant, including:
- Salesforce
- GoHighLevel
- Monday.com
- Asana
- Other CRM, marketing automation, project management, or email campaign platforms
Candidates with backgrounds in coordination, dispatching, sales administration, project administration, CRM administration, or similar operational roles may also be a strong fit.
Work Environment
This is a primarily in-office position. Team coordination, campaign execution, training, and communication are important parts of the role, so we are not considering fully remote candidates.
The employee may work from home up to one day per week after becoming established in the position and demonstrating the ability to manage the role independently.
Candidates must be available to work at least 32 hours in office per week.
What Success Looks Like
During the first several months, success in this role will mean:
- Becoming comfortable working in HubSpot.
- Keeping CRM and prospect information accurate and organized.
- Ensuring outbound campaigns are consistently prepared and monitored.
- Providing the SDR with the contacts, lists, and campaign support needed to maintain activity.
- Coordinating direct-mail campaigns from list preparation through delivery.
- Keeping marketing projects, vendors, and agency commitments organized.
- Creating dependable processes that allow the company’s core marketing efforts to run consistently.

This role will create the operational foundation for those efforts. As that foundation becomes established, the position may expand into additional inbound, social media, content, and campaign coordination responsibilities.
Pay: $42,000.00 - $50,000.00 per year
