DEFINITION
Responsible for issues of authority, liability and outside influence. Coordinates all areas of the JP Court including supervising up to 2 clerks. Responsible for daily invoices, purchasing and budgeting for department including problem solving. Works solely on civil, small claims, evictions and truancy cases on a daily basis from filing to disposition. Must be able to perform all court clerk job descriptions as needed and in the absence of the court clerk. Responsible for large amounts of money, escrow accounts, daily reports and monthly reports submitted to the State, Treasurer and Auditor including all other monthly reports to other agencies. Also, involves working with other department heads, County Judges office and Commissioners regarding office procedure or department information, including budget, statements of expenses, payroll, employee benefits, etc. Requires working with bond companies, attorneys, general public and Randall County District Attorney’s office assisting, organizing and preparing cases for trial including docket call and appeals.
SUPERVISION RECEIVED AND EXERCISED
Receives supervision from the Justice of the Peace (Judge).
Exercises supervision over at least 2 clerks.
EXAMPLES OF SPECIFIC RESPONSIBILITIES AND DUTIES
Responsibilities and duties may include, but are not limited to the following:
Essential duties and responsibilities:
1. Staff Management. Supervise up to (2) two clerks.
2. Coordinate all areas of the Court including appointments, dockets, trials
and all judicial correspondence.
3. Financial Management. Daily and Monthly reports for State, Auditor,
Treasurer and other agencies, balance and reconciliation of escrow account, daily purchasing and budgeting of department accounts.
4. Manage department budget, statements of expenses, payroll and employee benefits.
5. Discuss and problem solve department issues with other department heads, County Judges office, Commissioners, attorneys, funeral directors, Justice Court Training Center and the general public.
6. Processing civil, small claims, evictions and truancy cases solely from filing to final disposition including appeals, non-traffic and criminal cases from filing to disposition including appeals when necessary plus all problem solving matters in all departments of the Court.
7. Setting dockets and trials for both civil and criminal cases.
8. Handling of all cases with collection agency contracted by County.
9. Answering and assisting callers on a multi-line telephone.
10. Miscellaneous dockets – DPS administrative hearings, tow hearings, examining trial, magistration hearings, arrest warrants and inquest hearings.
11. Must perform court clerk position and duties in her/his absence.
12. Attend all necessary meetings and classes in and out of Amarillo for Court at Judge’s request
Other important duties and responsibilities:
Assist Judge with inquest files and any other Court issues at Judge’s immediate request.
QUALIFICATIONS
Must have experience in court system.
Ability to work a high-volume court independently (multi tasks).
Ability to supervise.
Type 65 WPM and Ten key by touch.
Data entry, Computer knowledge of Windows and M/S Word.
Must have exceptional communication and organizational skills.
Ability:
To work overtime.
Organize and effectively process and maintain cases file in the Court.
Analyze and record information for cases filed in the Court until disposition.
Understand and follow oral and written instructions.
Work independently and follow a flexible schedule.
Exercise tact and courtesy with County personnel attorney’s, bond companies, and the general public.
Handle and balance large sums of money.
Work a high-volume court independently.
Maintain physical condition appropriate to the performance of assigned duties and responsibilities which may include the following:
- Standing for extended periods of time with some walking and sitting
- Operate assigned equipment.
- Lifting and carrying materials.
Maintain mental capacity that permits:
- Making sound decisions and using good judgment.
- Effective interaction and communication with others.
- Answering questions.
- Analyzing and evaluating assigned programs.
- Compiling and analyzing end-of-month reports for department.

EXPERIENCE AND EDUCATION GUIDELINES
Any combination of experience and education that would likely provide the required knowledge and abilities for the assignment.
Experience:
Experienced in Court system, including human relations.
Education:
Graduation from high school or a general equivalency diploma (GED).
College education is a plus.
Licenses or Certificates:
Possession or ability to obtain an appropriate valid driver’s license.
Certifications from the Justice Court Training Center is a plus.

Office/Courtroom environment; some travel.

Pay: $60,200.00 - $62,731.00 per year
