Position Summary
Timothy L. Johnson Academy, a unified K–8 public charter school, is seeking a highly organized, detail-oriented Student Information Systems (SIS) & Compliance Administrative Assistant to primarily support student information management, state reporting, regulatory compliance, and front office operations for our middle school (6–8) program, while providing collaborative support for K–5 student information and compliance functions as needed. This position is ideal for an individual with experience in PowerSchool, educational data management, and Indiana Department of Education (IDOE) reporting who enjoys ensuring accuracy, organization, and exceptional service to families and staff.
The SIS & Compliance Administrative Assistant serves as a key member of the school's administrative team by maintaining the integrity of student data, supporting compliance with state and federal reporting requirements, assisting with attendance processes, and providing excellent customer service to scholars, families, and staff.
Essential Duties and ResponsibilitiesStudent Information Systems (SIS)
- Maintain accurate student records within the PowerSchool Student Information System.
- Process student enrollments, withdrawals, transfers, and demographic updates.
- Support student scheduling and course assignments.
- Verify the accuracy and integrity of student information.
- Generate reports and assist administrators with data analysis and decision-making.
- Troubleshoot routine PowerSchool data issues and coordinate with district leadership as needed.
Compliance & State Reporting
- Support compliance with Indiana Department of Education (IDOE) reporting requirements.
- Assist in maintaining accurate records within Indiana Special Programs.
- Monitor compliance deadlines and required documentation.
- Prepare and validate reports for state and district submissions.
- Maintain confidential student records in accordance with FERPA and state regulations.
- Assist with compliance monitoring for attendance, enrollment, and other state reporting requirements.
Attendance & Student Records
- Manage daily attendance processes and documentation.
- Monitor attendance accuracy and resolve discrepancies.
- Communicate with families regarding attendance matters.
- Maintain attendance records in compliance with Indiana law and school policies.
Family & Front Office Support
- Answer incoming telephone calls and respond professionally to inquiries.
- Welcome and assist parents, scholars, visitors, and community members.
- Provide accurate information and direct questions to appropriate staff.
- Deliver outstanding customer service while maintaining confidentiality.
Administrative Support
- Prepare correspondence, reports, spreadsheets, and other documents.
- Maintain organized electronic and physical student records.
- Assist administrators with special projects and school initiatives.
- Support school-wide compliance and operational needs.
- Perform other duties as assigned.
QualificationsRequired Qualifications
- High school diploma or equivalent (Associate's degree preferred).
- Three or more years of administrative office experience.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Strong customer service and interpersonal skills.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office and Google Workspace.
- Ability to maintain strict confidentiality.
Preferred Qualifications
- Experience in a K–12 school or educational setting.
- Experience using PowerSchool Student Information System.
- Experience with Indiana Department of Education (IDOE) reporting.
- Experience with Indiana Special Programs.
- Knowledge of Indiana attendance requirements and student record management.
- Experience supporting state compliance, educational reporting, or student information systems.
Preferred Knowledge & Skills
Experience in one or more of the following is highly desirable:
