Overview
We are seeking a detail-oriented and organized Administrative Assistant to join our dynamic finance team. The right candidate for this role will have excellent communication and organizational skills in a fast-paced construction office environment. The ideal candidate will play a crucial role in supporting the financial operations of our organization by assisting with various accounting and administrative tasks. This position is perfect for someone who is passionate about finance and eager to develop their skills in a professional environment. This role will report directly to the Chief Financial Officer.
Responsibilities
- Provide high-level administrative support and assistance to the CFO.
- Assist in the preparation of financial reports, budgets, and forecasts.
- Timely and professional follow up to questions and requests with detailed follow through and tracking beginning to end.
- Monitor and follow up on Purchase Orders and additional documentation pertaining to the new projects.
- Maintain accurate Labor records and ensure compliance with company policies.
- Maintenance of bid folders, job folders, and change orders.
- Order Certificate of Insurance and Preliminary Lien Waiver for new projects.
- Utilize financial software to manage transactions and generate reports efficiently.
- Perform general administrative tasks such as filing, data entry, and responding to inquiries related to finance.
- Assist the CFO in day-to-day operations crucial to the financial department
Skills
- Minimum 3 years' experience in an administrative or executive assistant role, construction environment a plus.
- Excellent organizational and time management skills.
- Strong communication skills (written and verbal).
- Strong attention to detail and ability to prioritize tasks.
- Ability to work independently and as part of a team.
- Proficiency in financial software is essential for managing accounts and generating reports.
- Strong analytical skills with attention to detail to ensure accuracy in financial documentation.
- Excellent organizational abilities to manage multiple tasks effectively within deadlines.
- Good communication skills for collaborating with team members and other departments.
- Knowledge of Microsoft Excel, QuickBooks, Textura and Procore are a plus.
- Basic understanding of accounting principles is preferred but not mandatory.
Job Type: Full-time
Base Pay: $18.00 - $20.00 per hour
