Job Summary:
The Medical Office Front Desk Receptionist is the first point of contact for patients and visitors at our ENT Medical Practice. This role is responsible for providing a welcoming and professional environment, managing patient check-in and check-out processes, scheduling appointments, verifying insurance, and supporting the daily administrative operations of a busy medical office. The role will also have Medical Assistant responsibilities.
Key Responsibilities:
Patient Reception & Check-In
- Greet patients and visitors warmly, ensuring a friendly and professional atmosphere.
- Register new and returning patients, verify and update personal and insurance information, and obtain necessary signatures and forms.
- Collect co-pays, payments, and provide receipts as needed.
- MA Tasks
Appointment Scheduling & Coordination
- Schedule, reschedule, and cancel patient appointments using the practice management system, optimizing provider schedules and minimizing wait times.
- Confirm upcoming appointments and communicate any necessary pre-visit instructions.
- Coordinate referrals, diagnostic testing, and follow-up appointments as directed by providers.
Administrative Support
- Answer incoming calls, respond to inquiries, and direct calls or messages to the appropriate staff or department.
- Manage the front desk area, maintain patient flow, and monitor the waiting area for cleanliness and comfort.
- Process incoming and outgoing mail, faxes, and other correspondence.
- Assist with medical record requests and ensure the confidentiality and security of patient information.
Insurance & Billing Support
- Verify insurance eligibility and benefits prior to appointments.
- Assist patients with billing questions and direct them to the appropriate staff for resolution.
- Collect, post, and reconcile payments as needed.
Compliance & Customer Service
- Maintain patient confidentiality and adhere to HIPAA and practice policies at all times.
- Provide exceptional customer service, addressing patient concerns with empathy and professionalism.
- Participate in staff meetings and training sessions as required.
Qualifications:
- High school diploma or equivalent required; additional training or certification in medical office administration preferred.
- Previous experience in a medical office or healthcare setting is highly desirable.
- Proficiency with electronic health records (EHR), scheduling software, and Microsoft Office Suite.
- Excellent communication, interpersonal, and organizational skills.
- Ability to multitask, prioritize, and work efficiently in a fast-paced environment.
- Strong attention to detail and a commitment to patient confidentiality and customer service.
Physical Requirements:
- Prolonged periods of sitting and computer use.
- Occasional standing, walking, and light lifting (up to 15 pounds).
