POSITION SUMMARY: Assist the Executive Manager in the day-to-day operation and administration of the property, performing related administrative and customer service functions.
ESSENTIAL TASKS:
- Oversee the day-to-day operations of the community through heavy interface with engineering staff, security team, housekeepers, and the accountant.
- Regularly inspect common areas, informing appropriate parties when items are found that need repair or replacement; create work orders; follow up to ensure that work is completed.
- Responsible for administering, updating, and training staff and resident users on BuildingLink portal, including approval of amenity reservations.
- Responsible for administering the Secure Perfect fob access system; program fobs.
- Assist residents in reserving amenities; ensure reservation paperwork is completed and fees are collected.
- Assist the Executive Manager with Requests for Proposals for purchases and services.
- Heavy customer service interface with residents on the telephone and in person.
- Oversee the architectural approval process for residents undertaking projects in their residences.
- Maintain and update parking space and storage locker assignments.
- Enforce violation policy; send violation letters in accordance with the governing documents and the Collection and Violation Policy.
- Assist the Executive Manager in the preparation of agendas and board materials for board meetings.
- Conduct move-out inspections for tenants; process check requests for return of security deposit.
- Attend board meetings; interface with the Board of Directors; take notes; write draft minutes.
- Process deposits and process deposit refunds in cooperation with the accountant.
- In consultation with the Executive Manager and the accountant, send past due accounts to the collection agency and serve as management liaison with the collection agencies.
- Process service requests from owners and route to engineering personnel for prompt response; conduct service follow-up with residents to ensure service was provided fully and appropriately.
- Order supplies and other items within established budgetary parameters.
- Provide support for special events and other community-related functions.
- Perform other tasks and projects as assigned by the Executive Manager.
QUALIFICATIONS:
- Three to five years of operations and administrative experience.
- High School graduate; some college desirable.
- Must hold a Provisional Community Management Certificate from the Nevada Division of Real Estate.
- Proficient in Microsoft Word, Excel, and Outlook.
- Ability to become quickly proficient at various software programs, including VMS and BuildingLink.
- Ability to apply principles of logical thinking to a variety of practical situations and accurately address and solve issues that arise.
- Self-starter with ability to work independently and exercise excellent judgment.
- Must possess excellent organizational and time management skills; must be able to effectively multitask.
