Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Handle calendar management and scheduling for team meetings, appointments, and client visits using productivity software like Microsoft Office and Google Workspace
- Perform data entry and maintain accurate records using spreadsheets, Word processing, and bookkeeping tools such as QuickBooks
- Coordinate office supplies procurement, filing systems, and document proofreading to ensure organizational efficiency
- Provide exceptional customer support by addressing inquiries via phone or email, offering bilingual assistance when needed
- Support office management tasks including organizing files, managing client communication, and assisting with administrative projects
- Assist with special projects such as medical or dental receptionist duties, calendar coordination, or personal assistant responsibilities
Requirements
- Proven experience in office management or administrative roles with strong clerical skills and office experience
- Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and productivity software
- Excellent computer literacy with technical proficiency in data entry, filing systems, and bookkeeping (QuickBooks preferred)
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Exceptional communication skills—both verbal and written—with a focus on professional phone etiquette and client interaction
- Bilingual abilities are highly desirable to support diverse client needs
- Previous experience as a front desk receptionist or medical/dental receptionist is a plus
- Demonstrated ability to handle multiple responsibilities simultaneously while maintaining accuracy and attention to detail
