Administrative Assistant — True Productions
True Productions, a concert and event production company specializing in staging, audio, lighting, and LED/video services, is seeking a detail-oriented Administrative Assistant to keep our office running smoothly and support the fast-paced flow of shows, corporate events, and private functions. This person is the organizational backbone between the office and the field — handling day-to-day administrative duties, keeping paperwork and billing on track, and helping coordinate the crews that make our events happen.
The ideal candidate is highly organized, calm under deadline pressure, and comfortable juggling multiple events at different stages of production. Experience in event production, AV, or a related service industry is a plus, but a strong administrative background and a willingness to learn the business will carry you far. Because our work follows the event calendar, some flexibility around evenings and weekends during busy show periods may be required.
Key Responsibilities
General office administration — Manage phones, email, correspondence, scheduling, and filing; maintain organized records for events, clients, and vendors; order office supplies and keep the workspace running efficiently; provide general support to management and production staff.
Accounts receivable support — Prepare and send client invoices, track outstanding balances, follow up on past-due accounts, and reconcile payments; assist with quotes, deposits, and basic bookkeeping tasks in coordination with the accounting/management team.
Labor coordination — Assist in scheduling and confirming crew, technicians, and freelance labor for upcoming events; maintain crew availability and contact lists; distribute call times, show details, and scheduling changes; help track hours and coordinate paperwork for labor.
Event & production support — Help assemble event documentation (schedules, gear lists, client info), coordinate with production leads on logistics, and keep information flowing between clients, crew, and the office.
Qualifications
Strong organizational and multitasking skills; clear written and verbal communication; proficiency with office software (email, spreadsheets, calendars) and comfort learning scheduling or invoicing systems; reliability, discretion, and a professional, service-minded attitude. Prior experience in event production, AV, staging, or a similar service industry is preferred but not required.
Pay: $20.00 - $25.00 per hour
