Trailers Inc. is an independent, owner-operated trailer dealership based in Cairo, New York, serving contractors, landscapers, farms, municipalities, and retail customers across the Hudson Valley and Catskills for the past 33 years. We sell, service, and stock parts for utility, dump, enclosed, car hauler, and equipment trailers — including Aluma, Belmont, CAM Superline, Durabull, N&N, Nordtek, and PACE American — along with related equipment.
Three services under one roof: Trailer Sales, Service & Repair, and Parts. That mix is deliberate. Bookkeeper / Administrative Assistant
Trailers Inc. | Cairo, NY | Full-Time | $52,000 – $72,000/year
Trailers Inc. is looking for a full-cycle Bookkeeper to own the financial records of our dealership. This is not a data-entry seat. You will run A/R, A/P, reconciliations, and the month-end close, and you will be the person the Owner and our outside CPA rely on for accurate numbers. If you like owning a complete set of books and having your work actually used to make decisions, this is that job.
We are an independent, owner-operated trailer dealership in Cairo, NY, running Trailer Sales, Service, and Parts. You'll work in a quiet office alongside a team that respects the finance function.
What you'll do
Accounts receivable and customer billing (25% of the role)
- Invoice customers for trailer sales, deposits, parts, and service repairs in QuickBooks Online
- Apply payments daily (check, ACH, card, financed proceeds) and reconcile the deposit summary against the bank
- Manage collections with a professional, relationship-preserving tone
- Coordinate credit application review with the Sales Manager and Owner on new commercial accounts
Accounts payable and vendor management (20%)
- Enter and code vendor bills against purchase orders supplied by the Parts / Shop Manager
- Run weekly payment cycles (check, ACH) against approved bills within terms
- Reconcile vendor statements monthly; resolve short-pays and freight adjustments
- Maintain W-9 files and produce annual 1099-NEC reporting
Month-end close and financial reporting (25%)
- Reconcile all bank, credit card, floor plan, and merchant accounts monthly
- Book recurring journal entries — depreciation, payroll accrual, inventory adjustments, floor-plan interest
- Produce monthly P&L, balance sheet, and departmental gross-profit reporting for the Owner
- Prepare year-end workpapers, fixed-asset roll-forward, and NYS sales tax filings
Customer experience and operational support (30%)
- Represent Trailers Inc. professionally with customers, vendors, and our outside CPA
- Present financial information clearly to a non-accounting owner
- Participate in training and certification courses; assist in training new personnel as directed
What we're looking for
Required
- High school diploma or GED
- Advanced working knowledge of QuickBooks Online
- Demonstrated full-cycle bookkeeping experience — A/R, A/P, payroll support, reconciliations, close
- Competency in bank, credit card, and merchant reconciliation
- Microsoft Excel skills including pivot tables and VLOOKUP / XLOOKUP
- Familiarity with payroll processing and 1099 reporting
- Sound judgment on internal controls, segregation of duties, and fraud red flags
- Ability to handle sensitive financial information discreetly
- Ability to lift up to 25 lbs occasionally
Preferred
- Associate or bachelor's degree in Accounting, Finance, or a related field
- QuickBooks Online ProAdvisor certification, or Certified Bookkeeper (AIPB) or equivalent
- Experience integrating QuickBooks Online with Shopify inventory
- Dealership or small-business bookkeeping experience, including floor plan accounting
- Understanding of NYS sales tax on vehicle / trailer sales, deposits, trade-ins, and out-of-state delivery
- Light Excel macro experience
How success is measured
Three clear measures: successfully manage AR and AP in maintaining positive cashflow week over week ; deliver a fully reconciled month-end close package within 5 business days of period end; and maintain 100% clean bank, credit card, and floor plan reconciliations each month. Reviews at 30, 60, and 90 days, then annually.
