JOB SUMMARY: The HR Specialist is responsible for administrative processes, special projects, and for providing support to the manager of a primary function within the Human Resources department. This position often requires the use of independent judgment and initiative to plan and execute functions.
ESSENTIAL FUNCTIONS:
- Prepares reports, memos, letters, and other documents using word processing, spreadsheet, database, or presentation software.
- Enters critical employee data and runs relevant processes into HRIS databases
- Reads and analyzes incoming memos, submissions and reports to determine their significance and plan their distribution.
- Acts as project manager for special projects, which may include coordinating participants, disseminating information, and organizing events.
- Handles confidential information.
- Works closely with HR Point People throughout the Agency.
- Represents the HR department at internal and/or external events and meetings
SPECIALIZED FUNCTIONS:
- Processes and maintains personnel requisitions in MyStaffingPRO and on the employee website, and coordinates the accurate information with managers.
- Processes terminations and maintain appropriate separation forms and checklists updated.
- Processes payroll advices and adheres to payroll deadlines.
- Supports agency’s recruitment efforts: screening and sourcing resumes for assigned open positions through resume databases, conducts initial phone screenings, assists with scheduling interviews, and other staffing support.
- Monitors Applicant Tracking System, including assistance with training new users and following up on incomplete applications, and also updates ATS as positions are filled.
- Responsible for setting up and tracking pre/post-employment health screenings to ensure regulatory compliance.
- Assists with Recruitment billing and running system reports.
- Handles inquiries from staffing vendors and job candidates.
- Provides HRIS integration support as needed.
- Assists with job postings.
- Familiarity with general employment laws.
- Assists with Paylocity administration (timesheet issues, accrual management, employee information look ups as needed).
- Assists with new hire documentation and credentialing as needed.
- Supports during employee relations investigations as needed.
- Participates in Career Fair Events and Trade Shows
SUPERVISORY REQUIREMENTS: No
OTHER DUTIES: Assists with departmental projects as needed (Benefits Fair, Employee Recognition events, special administrative projects, etc.). Participates in and supports CAS or agency wide events and committees as requested.
KNOWLEDGE/SKILLS/ABILITIES: Exceptional attention to detail, strong organizational and time-management skills, and the ability to handle multiple projects independently. Interpersonal skills demonstrating a high standard for customer service. Proficient in Microsoft Office products. Proven ability to handle sensitive information with confidentiality, establishing priorities, and meeting deadlines. Excellent follow-up and multi-tasking skills. Strong verbal and written communication skills.
MINIMUM QUALIFICATIONS: Bachelors preferred with one-year HR experience; or Associates degree with 2-3 years' of related Human Resources experience. Prior recruitment and onboarding experience a plus. ATS platforms or HRIS experience.
Pay: Up to $60,000.00 per year
