Carolina Health and Hearing is looking for a skilled Patient Care Coordinator who is driven, self-motivated, and passionate about helping patients and providers. The ideal candidate will possess strong personal and administrative skills.
Daily tasks and responsibilities may include:
Logging In and Workstation Setup
- Office hours are 8:30am - 4:30pm.
- Arrive at your workstation ready to begin at your scheduled start time.
- Sign in to your accounts.
- Respond promptly to internal chats and communications.
- Follow opening of office procedures.
Scheduling & Communication
- Coordinate and update all provider schedules.
- Address all phone inquiries.
- Confirm scheduled appointments with patients to ensure attendance and reduce no-shows.
- Check and address all voicemails and return missed calls promptly.
Appointment Management
- Prepare patient charts for evaluations and fittings.
- Manage check-in and check-out processes, including collecting information and scheduling follow-ups.
Insurance & Billing Support
- Verify insurance details and apply benefits as applicable.
- Collect patient payments and assist with financing options and purchase agreements.
Office Support
- Ensure compliance with HIPAA regulations and adhere to company policies at all times.
- Monitor office inventory and supplies, ensuring stock levels are adequate and promptly reporting any items that need replenishment.
- Ensure all patient charts, cover sheets, and required bills for the day are ready.
- Prepare purchase agreements and process charges.
- Monitor and manage portals for updates.
- Create and maintain accurate patient records.
- Track appointments, cancellations, and key performance indicators.
- Remotely support other locations as needed.
- Chaperone patients during sensitive exams as needed to ensure patient comfort and compliance with organizational policies and procedures.
Cleaning and Maintenance
- Maintain a clean and organized office environment.
- Take out office trash and ensure the waiting area and bathrooms are clean daily.
- Vacuum, sweep, and dust office areas weekly or as needed.
- Break down all boxes from weekly shipments, and ensure they are disposed of properly.
- Perform a thorough cleaning of the bathroom weekly or as needed.
Please note that responsibilities include, but are not limited to, the tasks outlined above. Management or Office Managers may assign additional tasks as necessary to support the needs of our team and patients.
