Job Title: Front Desk / Patient Care Coordinator – Acupuncture Clinic
Overview
Flow & Heal Acupuncture is a growing acupuncture clinic in Pleasanton, CA. We are looking for a friendly, reliable, and detail-oriented Front Desk / Patient Care Coordinator to support daily clinic operations and create a smooth, welcoming experience for patients.
This role is a good fit for someone who enjoys helping people, communicates well, stays organized, and is comfortable handling scheduling, patient communication, payments, and basic insurance-related tasks. Experience in a medical, dental, chiropractic, acupuncture, physical therapy, med spa, or wellness office is preferred, but we are willing to train the right person.
Responsibilities
- Greet patients in a warm, professional, and welcoming manner
- Answer phone calls, text messages, and emails
- Schedule, reschedule, and confirm patient appointments
- Assist with patient check-in and check-out
- Collect patient information, including name, DOB, email, intake forms, and insurance card images
- Help organize insurance verification information and communicate basic benefit details to patients
- Collect payments, copays, and outstanding balances
- Maintain accurate patient records in the scheduling/EHR system
- Keep the front desk and waiting area clean, organized, and calm
- Communicate schedule changes, patient concerns, and important updates to the provider
- Assist with basic administrative tasks such as scanning, filing, data entry, and follow-up messages
- Protect patient privacy and follow HIPAA guidelines
- Support the overall flow of a small healthcare clinic
Skills / Qualifications
- Friendly, professional, and patient-focused attitude
- Strong English communication skills, both verbal and written
- Mandarin/English bilingual ability is a strong plus
- Reliable, punctual, and responsible
- Detail-oriented and organized
- Comfortable answering phones, sending texts, and communicating with patients
- Comfortable collecting payments and discussing copays or balances professionally
- Basic computer skills, including email, scheduling software, and data entry
- Ability to multitask in a small clinic setting
- Ability to stay calm and professional when patients have questions or concerns
- Willingness to learn clinic procedures, insurance workflows, and patient communication scripts
- Prior experience in a healthcare, dental, chiropractic, acupuncture, PT, med spa, wellness, or customer service setting is preferred
- Experience with Jane App or other EHR/scheduling software is a plus
- Insurance verification experience is a plus
- Must be legally authorized to work in the United States
Pay: $22.00 - $24.00 per hour
