Responsibilities
- Manage complex calendars, schedule appointments, meetings, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace.
- Provide executive administrative support by preparing reports, correspondence, and presentations with accuracy and attention to detail.
- Coordinate projects and events from planning stages through execution, ensuring deadlines are met and resources are efficiently allocated.
- Handle phone etiquette professionally across multi-line phone systems, screen calls, and direct inquiries appropriately.
- Maintain organized filing systems, perform data entry, and manage document proofreading and transcription tasks with precision.
- Oversee office management duties including supply procurement, filing systems, front desk responsibilities, and general clerical support.
- Utilize QuickBooks for basic bookkeeping tasks such as invoicing, expense tracking, and financial record keeping.
Skills
- Proven experience as an executive assistant or personal assistant with strong office management skills.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry tools.
- Strong communication skills with professional phone etiquette and customer service orientation.
- Experience with project coordination, event planning, and calendar management tools like Microsoft Outlook Calendar.
- Knowledge of QuickBooks for bookkeeping purposes and familiarity with DocuSign for electronic signatures.
- Exceptional typing speed combined with proofreading and transcription expertise to ensure accuracy in all documents.
