Assistant Practice Manager – Veterinary Hospital Position Summary
The Assistant Practice Manager supports the overall operations of the veterinary hospital by working closely with the Practice Manager and medical team. This role helps ensure efficient daily operations, high-quality patient care, excellent client service, and a positive, productive work environment.
Key Responsibilities Operations Management
- Assist in overseeing daily hospital operations, including scheduling, workflow, and staffing coverage
- Ensure smooth coordination between front desk, technicians, and veterinarians
- Monitor and maintain hospital cleanliness, organization, and compliance with safety standards
- Help implement and enforce hospital policies and procedures
Staff Supervision & Support
- Assist with hiring, onboarding, and training new team members
- Provide coaching, feedback, and performance support to staff
- Help manage staff schedules, timekeeping, and coverage
- Promote a positive team culture and resolve conflicts as needed
Client Service
- Ensure a high standard of customer service and client communication
- Address client concerns or complaints professionally and efficiently
- Support front desk operations during busy periods
Financial & Administrative Duties
- Assist with budgeting, inventory management, and cost control
- Monitor billing accuracy, invoicing, and payment processes
- Help track key performance indicators (KPIs) and hospital metrics
- Support payroll and reporting tasks as needed
Compliance & Quality Assurance
- Ensure compliance with veterinary regulations, OSHA standards, and hospital protocols
- Maintain accurate medical and administrative records
- Support quality improvement initiatives and best practices in patient care
Qualifications
- 2+ years of experience in a veterinary clinic or animal healthcare setting (preferred)
- Prior supervisory or leadership experience strongly preferred
- Strong organizational and multitasking skills
- Excellent communication and interpersonal abilities
- Proficiency with veterinary practice management software (e.g., AVImark, eVetPractice, Cornerstone)
- Knowledge of basic veterinary terminology and procedures
Education Requirements
- High school diploma or equivalent (required)
- Associate’s or Bachelor’s degree in business, animal science, or related field (preferred)

Reporting Structure
- Reports directly to the Practice Manager or Hospital Administrator
Pay: $53,462.91 - $64,385.44 per year
