Job Summary
The Accounting Administrative Assistant manages daily front office and accounting activities while supporting the accounting team. This role ensures a welcoming environment for staff and visitors while assisting the Controller in maintaining accurate financial records, including accounts receivable, accounts payable, general ledger functions, and reconciliations.
Duties:
· Perform Accounts Payable / Receivable functions.
· Reconcile records internally and with external vendors or customers.
· Investigate questionable data and recommend actions to resolve discrepancies.
· Process financial transactions with accuracy and diligence.
· Manage incoming and outgoing mail, sorting and forwarding as appropriate.
· Order, receive, stock, and maintain inventory of office supplies, concessions, and workplace necessities.
· Coordinate office equipment maintenance, repairs, and vendor relationships.
· Maintain office calendars, schedule conference rooms, and oversee general organization.
· Support staff with administrative needs and requests.
· Maintain compliance with all company policies and procedures.
· Serve as primary contact, directing calls and taking messages.
· Manage visitor check-in and badge distribution; Courteously greet and direct guests to appropriate contacts or locations.
· Maintain customer confidence and protect operations by keeping financial information confidential.
· Perform other duties as assigned.
Qualifications:
· Minimum 3 years of combined administrative and accounting experience.
· Associates degree and relevant certification is a plus.
· Proficiency in accounting software (QuickBooks), databases, and Microsoft Office Suite.
· Strong attention to detail with fact-oriented, results-focused approach with accuracy.
· Professional written/verbal communication and interpersonal skills
· Customer service oriented with welcoming demeanor.
· Ability to multitask, organize, and prioritize in fast-paced environment.
· ConnectWise experience is a plus (preferred)

Pay: $23.11 - $27.84 per hour
