We're seeking a Full-time Patient Experience Coordinator/Medical Assistant.
This hybrid role combines front-office patient experience responsibilities with hands-on clinical support to ensure exceptional patient care and seamless daily operations. As the first point of contact for our patients, you will create a warm welcoming, five-star experience while also assisting providers with wellness and aesthetic treatments.
The ideal candidate is professional, detail-oriented, customer service-drive, and thrives in a fast-paced environment. Experience in medical aesthetics, wellness, hormone replacement therapy, or functional medicine is highly preferred.
Patient Experience & Front Office Responsibilities:
- Warmly greet and welcome guests upon their arrival at the office.
- Answer, screen, and forward incoming phone calls.
- Provide basic and accurate information in person and via phone/email.
- Receive, sort, and distribute daily mail and deliveries.
- Order front office supplies and maintain inventory stock.
- Update calendars and schedule appointments.
Clinical & Medical Assistant Responsibilities
- Prepare patients for examinations, wellness consultations, and aesthetic procedures
- Obtain and document vital signs, medical histories, and patient intake information accurately.
- Serve as a medical scribe during patient consultations by documenting treatment plans and provider instructions
- Assist providers during wellness and aesthetic procedures including room preparation, patient assistance and post-procedure cleanup.
- Perform blood draws/phlebotomy and specimen processing
- Administer or assist with intramuscular (IM) and subcutaneous injections, as permitted
- Assist with prescription refills for non-controlled medicates as directed by providers
- Complete prior authorizations for medications and procedures
- Ensure laboratory results, medical records, and patient documentation are complete and uploaded prior to appointments.
- Contact patients following appointments to provide follow-up care, answer questions, and ensure an exceptional patient experience
- Educate patients on treatment plans, wellness programs, hormone replacement therapy, skincare products, post treatment care, and lifestyle recommendations.
- Maintain treatment rooms, clinical equipment and supplies while adhering to sterile technique and infection control standards.
- Collaborate with providers and team members to ensure efficient clinic flow and outstanding patient care.
- Maintain HIPAA compliance and patient confidentiality at all times
- Perform additional duties as assigned by leadership
Education/Experience:
- High school or equivalent (Preferred)
- 1 year of customer service experience (Preferred)
- Minimum of 2 years of experience as a Medical Assistant in a medical, aesthetic, or wellness practice required.
- Previous experience in a front desk, patient coordinator, or medical receptionist role preferred.
- Proficient with Electronic Medical Records (EMR/EHR) systems, patient scheduling, and medical documentation.
- Experience performing blood draws/phlebotomy, specimen processing, obtaining vital signs, patient intake, and documenting medical histories.
- Familiarity with IM and subcutaneous injections, sterile technique, infection control standards, and assisting providers during medical or aesthetic procedures preferred.
- Knowledge of hormone replacement therapy (HRT), IV therapy, weight loss programs, peptides, and functional wellness is a plus.
- Experience assisting with aesthetic treatments and educating patients on treatment plans, skincare, wellness services, and post-treatment care preferred.
- Warm, professional, and customer-focused with exceptional communication and interpersonal skills.
- Ability to greet patients, answer and route incoming calls, schedule appointments, respond to patient inquiries, and create a welcoming patient experience.
- Strong organizational and multitasking skills with the ability to prioritize responsibilities in a fast-paced medical spa environment.
- Maintain front office operations, including managing supplies, receiving deliveries, coordinating calendars, and ensuring treatment rooms are properly stocked.
- Thorough understanding of HIPAA regulations and commitment to maintaining patient confidentiality.
