We are seeking a highly organized, motivated, and dependable Office Manager to oversee our daily office operations and serve as the central point of coordination between our customers, technicians, vendors, and management team. This is a leadership position that plays a vital role in ensuring projects are completed efficiently, customers receive exceptional service, and company operations continue to run smoothly.

Position Summary
The Office Manager is responsible for coordinating the day-to-day administrative and operational functions of the company. Primary responsibilities include receiving equipment, coordinating inventory, tracking work orders and service tickets, supporting technician scheduling, verifying documentation, assisting with invoicing, and ensuring projects are completed accurately from beginning to end.
This position is expected to become the primary operational coordinator of the company. Success in this role requires taking ownership of daily operations, anticipating problems before they occur, and ensuring technicians, customers, vendors, and management remain informed throughout every project.
The successful candidate will be detail-oriented, organized, comfortable supervising workflow, and capable of making decisions with minimal supervision. This is not simply an administrative role—it is a leadership position responsible for helping keep the entire organization operating efficiently.
Primary Responsibilities
- Receive, inspect, and accurately document incoming equipment, materials, and shipments.
- Coordinate receiving, inventory, and distribution of equipment to technicians.
- Track service tickets and work orders from creation through completion.
- Coordinate technician schedules, project priorities, and resource availability.
- Monitor project progress and communicate delays or concerns to management.
- Verify completed work orders are properly documented before invoicing.
- Review technician documentation for completeness, accuracy, and quality.
- Assist with customer communication regarding scheduling, project updates, and completed work.
- Coordinate with vendors regarding orders, deliveries, returns, warranty claims, and purchasing.
- Verify invoices against completed work and received materials.
- Maintain organized records of inventory, customer documentation, company assets, and completed projects.
- Assist with purchasing office supplies and operational materials.
- Support daily office operations and administrative functions.
- Help ensure company procedures, documentation standards, and quality expectations are consistently followed.
- Assist management with improving operational efficiency and internal processes.
Work Order Accountability
One of the most important responsibilities of this position is to ensure every project is properly documented, completed, and ready for billing before it is closed.
The Office Manager is expected to:
- Review completed work orders for accuracy, completeness, and proper documentation.
- Verify technician labor entries, materials used, equipment installed, and customer notes have been accurately recorded.
- Ensure required photographs, serial numbers, documentation, and supporting information are attached when applicable.
- Follow up with technicians regarding incomplete documentation or missing information before work orders are finalized.
- Confirm customer concerns have been fully addressed, and all requested work has been completed.
- Verify technicians have communicated with the customer before leaving the job site to ensure project goals were met and no additional issues remain unresolved.
- Coordinate with technicians and management to resolve discrepancies before invoices are generated.
- Help maintain accurate inventory by ensuring all materials and equipment are properly documented.
- Work closely with accounting to ensure invoices accurately reflect completed work.
- Maintain consistent quality control so every completed project meets company standards for documentation, professionalism, and customer satisfaction.
Qualifications
- Previous office management, operations, administrative, project coordination, or similar experience preferred.
- Basic accounting knowledge including purchase orders, invoices, billing verification, and accounts payable/receivable.
- Experience with shipping, receiving, and inventory management.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Ability to effectively prioritize multiple projects simultaneously.
- Exceptional attention to detail and organizational skills.
- Proficiency with Microsoft Office including Word, Excel, and Outlook.
- Ability to quickly learn new software applications.
- Experience with service management, ERP, or ticketing systems is preferred.
- Previous supervisory or team leadership experience is preferred.

Physical Requirements
- Primarily office-based work with regular movement between office and warehouse/receiving areas.
- Ability to occasionally lift and move packages or equipment weighing up to 40 pounds.
- Ability to operate standard office equipment including computers, printers, scanners, and telephones.
Requirements
- Must work from our office located in Storm Lake, Iowa.
- Must have a valid driver's license.
- Must be able to commute to our Storm Lake office.
- Must be legally authorized to work in the United States.
Security Requirements
Because Rebnord Technologies provides services to public safety, government, and criminal justice agencies, this position must comply with Criminal Justice Information Services (CJIS) Security Policy requirements.
Employment is contingent upon successfully completing all required background investigations and security screening. Applicants must be able to satisfy CJIS eligibility requirements and maintain eligibility throughout their employment.
