A well-established, highly regarded private law firm is seeking an experienced Legal Secretary & Junior Office Administrator to join its Trusts & Estates team. This is an excellent opportunity for a proactive legal support professional looking to combine high-quality legal secretarial work with office administration responsibilities in a collaborative and professional environment.
Supporting two attorneys, you will play a key role in delivering exceptional client service while ensuring the smooth day-to-day operation of the office.
- Provide comprehensive legal secretarial support to two attorneys.

Liaise professionally with clients, schedule appointments, coordinate meetings, and provide Notary Public services where applicable.

Draft estate planning documents, including:
- Powers of Attorney

Revocations of Power of Attorney

Advance Directives
-
HIPAA Authorisations

Guardian Designations
- Prepare client post-execution estate planning binders.

Record and enter attorney billable time accurately on a daily basis.

Assist with a variety of administrative and legal projects as required.

Coordinate office facilities, including leases, utilities, equipment maintenance, and office repairs.

Provide day-to-day support and guidance to administrative staff regarding office procedures, policies, and best practices.

Promote and uphold the highest standards of client confidentiality and professional ethics.

Assist in organising client seminars, networking events, professional receptions, office celebrations, and other firm events.
The successful candidate will have:

Previous experience as a Legal Secretary, preferably within a Trusts & Estates or Private Client practice.

Experience supporting the day-to-day administration of a professional office environment.

A Business Administration qualification (preferred but not essential).

Strong IT skills, including Microsoft Office, Outlook and Adobe Acrobat. Experience with legal practice management systems such as Aderant or Time Expert would be advantageous.
