A growing Broward County civil litigation law firm is seeking an experienced paralegal who thrives in a fast-paced environment, enjoys taking ownership of their cases, and is passionate about delivering exceptional client service.
This is not an entry-level administrative position. We are looking for someone who can independently manage a high-volume litigation caseload, anticipate issues before they arise, and keep attorneys organized and prepared every step of the way.

Primary Duties and Responsibilities
- Monitor for newly opened files throughout the day and promptly begin the file-opening process.
- Contact new clients and provide appropriate welcome and introductory communications.
- Follow the firm's foreclosure file-opening procedure and ensure required information, documents, deadlines, and case statuses are entered accurately.
- Prepare and file Notices of Appearance and Motions, as appropriate.
- Identify files requiring different or expedited responses, including defaults, emergency matters, and matters requiring immediate attorney review.
Client Communication and Case Management
- Serve as a primary client liaison for assigned foreclosure matters.
- Communicate hearing results and case updates to clients promptly.
- Review upcoming hearings, trials, summary judgment hearings, and foreclosure sales and ensure clients have received appropriate communication regarding next steps.
- Coordinate attorney-client calls when attorney guidance or strategy discussions are needed.
- Maintain accurate case statuses, notes, deadlines, tasks, and other information within the firm's case management system.
- Proactively identify files that require attorney attention and follow up until the issue is resolved.
Hearings and Litigation Events
- Review attorney calendars for sufficient case information, attendance information, deadlines, and court requirements. Identify potential scheduling conflicts.
- Monitor and process hearing-related emails, e-service notifications, and court notices.
- Communicate with judicial assistants regarding scheduling and court procedures when necessary.
- Upload proposed orders and other required documents through applicable Florida systems.
Mediations
- Monitor upcoming mediations and ensure all required preparation is completed.
- Track mediator invoices and ensure required mediation payments are timely processed.
- Coordinate with attorneys and clients regarding upcoming mediations and required next steps.
Summary Judgment Hearings, Trials, and Foreclosure Sales
- Proactively monitor all summary judgment hearings, trials, and foreclosure sales.
- Review matters with significant events coming up and ensure required attorney and client follow-up has occurred.
- Escalate approaching deadlines or case events when action remains outstanding.
- Coordinate attorney-client conferences when strategy or next steps have not yet been communicated.
- Monitor foreclosure sales and identify matters requiring emergency action.
- Review completed foreclosure sales for potential surplus issues and ensure appropriate follow-up.
E-Filing and Court Documents
- Prepare, e-file, and serve pleadings, notices, motions, and other court documents through the Florida Courts E-Filing Portal.
- Upload proposed orders through CourtMap, CMS, OLS, JACS, JAWS, and other applicable county-specific judicial systems.
- Monitor filings for acceptance, rejection, or required corrective action.
- Follow up on pending proposed orders and ensure case statuses are updated after entry of orders.
Task and Workflow Management
- Maintain and work assigned tasks daily.
- Use case-management reports and dashboards to identify outstanding work and approaching deadlines.
- Follow up on outstanding items rather than waiting for attorneys or supervisors to identify them.
- Keep assigned files, tasks, reports, and case statuses current and accurate.
- Participate in weekly meetings with the supervising attorney to review caseload status, upcoming deadlines, priority matters, and unresolved issues.
Technology Requirements
- Experience using the Florida Courts E-Filing Portal.
- Experience with Florida judicial online systems, including CourtMap, CMS, OLS, JACS, JAWS, and similar county-specific platforms.
- Proficiency with Microsoft Office, Outlook, and Adobe Acrobat.
- Experience using legal case-management software; Litify/Salesforce or Clio experience is a plus.
- Ability to effectively manage electronic calendaring, e-service notifications, reports, dashboards, and task-based workflows.
- Strong comfort level learning and using technology to manage a high-volume caseload.
Qualifications
- 2+ years of Florida civil litigation experience required.
- Florida foreclosure experience strongly preferred.
- Foreclosure defense, mortgage servicing, real estate litigation, creditor's rights, or consumer litigation experience is a plus.
- Prior experience independently managing a litigation caseload strongly preferred.
- Strong organizational skills and attention to detail.
- Ability to prioritize urgent matters while maintaining routine caseload responsibilities.
- Strong written and verbal communication skills.
- Ability to communicate professionally with clients, attorneys, court personnel, opposing counsel, and vendors.
- Ability to take ownership of assignments and follow matters through completion without constant supervision.
- Paralegal Certificate preferred.
- Associate's Degree or equivalent experience accepted.
- Spanish and/or Haitian Creole bilingual skills are a plus.
Working Hours:
8:30 AM – 5:30 PM or 9:00 AM - 6:00 PM
Compensation:
Commensurate with experience. The firm also has a generous benefits package. Health, Dental, Vision and Life insurance premiums are paid by the firm at 75% for the base plans. A 401K plan is also offered at first Open Enrollment date after one year of employment.
