We are seeking a friendly, professional, and organized Receptionist to serve as the first point of contact for our organization. In this role, you will oversee front desk operations, answer and direct multi-line phone calls, greet visitors, and provide exceptional customer service. The ideal candidate is detail-oriented, dependable, and thrives in a fast-paced environment while maintaining a welcoming and professional atmosphere.

Greet and welcome patients, visitors, and guests in a professional, courteous, and friendly manner.

Answer, screen, and route incoming calls using a multi-line phone system while maintaining excellent phone etiquette.

Schedule appointments, manage calendars, and assist with patient or client check-in and check-out processes.

Respond to emails and manage incoming and outgoing mail, packages, and other correspondence.

Maintain accurate records through data entry, filing, and document management while ensuring confidentiality.

Perform general administrative and clerical duties, including scanning, copying, proofreading, and preparing documents.

Assist with office operations, including ordering and maintaining office supplies and supporting day-to-day administrative needs.

Utilize Microsoft Office Suite, Google Workspace, and other office software to complete daily tasks efficiently.

Support basic bookkeeping or payment processing, as applicable.

Provide prompt, professional customer service by responding to questions and directing inquiries to the appropriate staff.

Maintain a clean, organized, and welcoming reception area.

Perform other administrative duties as assigned to support efficient office operations.
Preferred Qualifications:

Prior office or administrative experience required; front desk or receptionist experience is strongly preferred.

Demonstrated ability to manage multi-line phone systems professionally, courteously, and efficiently.

Bilingual proficiency is highly desirable and valued in serving a diverse patient and visitor population.

Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and accurate data entry.

Previous experience as a medical or dental receptionist is preferred but not required.

Personal assistant, office management, or related administrative experience is considered an asset.

Strong organizational, multitasking, and time management skills, with the ability to prioritize competing responsibilities in a fast-paced environment.

Excellent interpersonal, communication, and customer service skills with a professional and compassionate demeanor.
