Position Summary:
Responsible for administrative, coordination and program development duties for production and development team based in Los Angeles, Miami and New York. Overall responsibilities include providing administrative support, maintaining and updating development status information and databases, creating development materials (both written and visual) coordinating meetings, tracking and managing invoices and expenses and travel coordination as needed. This position requires fluency in Spanish and to work from our New York City offices.

Essential Functions
Listed in order of importance:
1. (35% of time spent) Perform Development Coordinator duties for development team to streamline and improve the development pipeline from ideation to pitch. Coordinate all development department meetings, update and maintain development pipeline status and assignments in database and department files. Generate and distribute trackers as well as agendas for meetings as needed. Liaise with other departments to make sure they have the materials they need to support the development process and pipeline. Participate in the program pitching process by coordinating and attending pitch meetings. Create files and organizational tools for tracking contacts and information related to development and industry talent, including third-party partnerships and agencies. Maintain development program lists, spreadsheets, and databases.
2. (25%) Assist with developing ideas including writing and reviewing treatments, decks, and pitches, and lead the creation of compelling visual and graphic-designed pitch and meeting materials through cutting edge software and other presentation creation software. Provide editorial research as requested. In coordination with the development team, actively search for new development and talent to bring to the team for consideration, generate internal ideas and title lists, and generally provide additional creativity to the team and department.
4. (35%) Provide administrative support to the CEO, EVP of Current Programming and VP of Production and Operations. Organize travel and logistics, coordinate zooms and meetings, create and submit expenses, maintain multiple calendars and schedules. Prepare written and visual presentations for senior executives and have the ability to quickly adjust priorities to provide critical materials in a timely, accurate and creative manner.
2. (5%) Serve as interface with SMUGGLER operations teams and administrative assistants based in LA/NYC/Miami offices, and with colleagues across SMUGGLER departments and companies. Coordinate department office activities (e.g., general office needs, company equipment, furniture requests, IT troubleshooting, computer folder access, etc.).
Secondary Duties
Additional skills in addition to Microsoft and Google suites: proficiency graphic design software (e.g. Adobe Photoshop, InDesign etc.) or other presentation software (e.g. Readymag, Canva) and some proficiency in video editing software (Adobe Premiere and/or AVID) highly preferred. Manage and maintain organization of in-office equipment such as hard drives. Excellent oral and written communication skills and a professional demeanor. Incredibly task and deadline oriented and able to juggle multiple pressing assignments simultaneously. Knowledge of production and post production process, and able to make editorial suggestions that improve quality of programming is a plus. Creative, unflappable under pressure, and has a “whatever it takes” attitude.
