I. Position Overview:
Location: Irvine, CA
Job Type: Full-Time, Hourly (Non-Exempt)
Work Location: On-site only. This position requires working full-time in our Irvine, CA office.
Layn USA is seeking an Accounting Specialist to support our daily accounting operations. This position is ideal for an early-career accounting professional looking to expand their experience in general accounting, inventory accounting, and office administration.
The primary focus of this role is general accounting, including Accounts Payable (AP), Accounts Receivable (AR), account reconciliations, inventory reconciliation, expense report review, and month-end closing support. This position also provides administrative support as needed.
II. Specific Tasks, Duties and Responsibilities:
Primary Responsibilities
Accounting (Primary Focus)
· Assist with Accounts Payable (AP) and Accounts Receivable (AR) processing
· Assist with bank, credit card, and account reconciliations
· Assist with journal entries and month-end closing
· Assist with review and process employee expense reports
· Assist with maintain accurate accounting records and supporting documentation
· Assist with follow up on customer payments and collections
· Assist with financial reporting and other accounting tasks as assigned
· Assist with customer credit setup, credit evaluations, credit insurance applications, policy maintenance, and related documentation.
· Assist with internal and external audits.
· Assist with budget planning, budget tracking, and expense control by monitoring and analyzing actual expenses against the budget, ensuring efficient use of resources, and reporting any significant variances.
Inventory Management
· Maintain inventory records and assist with inventory reconciliation.
I. Position Overview:
· Monitor inventory transactions between warehouse and accounting systems for accuracy
· Investigate inventory discrepancies and work with Operations and Warehouse teams to resolve issues
· Participate in monthly physical inventory counts and cycle counts
· Prepare inventory-related reports for management.
Office Administration
· Manage office supplies and vendor relationships for office services.
· Coordinate office maintenance and administrative support activities.
· Assist with company administrative documents, including business licenses, permits, registrations, and other corporate filings as needed.
· Coordinate onboarding and offboarding activities
· Coordinate employee badge, equipment, and workspace setup.
· Lead office employees in regularly maintaining a clean, organized, and professional office environment.
· Organize company team-building activities for office employees.
III. Essential Skills and Experience:
Education
· Associate's degree in Accounting, Finance, Business Administration, or related field required.
· Bachelor's degree preferred.
Qualifications & Experience
Required
· Minimum of 1 year of accounting or bookkeeping experience.
· Experience processing employee expense reports and expense reconciliation.
· Experience supporting inventory accounting or inventory management.
· Hands-on experience using QuickBooks Desktop and/or QuickBooks Online for general accounting functions, including AP, AR, bank reconciliations, journal entries, and financial reporting.
· Strong Microsoft Excel skills, including the ability to analyze, reconcile, and validate financial and inventory data.
· Strong analytical skills with excellent attention to detail and the ability to quickly identify discrepancies, investigate variances, and maintain data accuracy.
Preferred
· Experience using Zoho One is highly preferred.
· Experience in office administration is a plus.

Pay: $25.00 - $28.00 per hour
