Position Summary
The Canteen Manager is responsible for the daily management and operation of the VFW Canteen. This position ensures the canteen operates efficiently, safely, and in compliance with all applicable VFW policies and local, state, and federal regulations. The Canteen Manager supervises bartenders, manages inventory and financial accountability, maintains a welcoming atmosphere for members and guests, and works closely with the House Committee to ensure the continued success of the Post's canteen operations.
Essential Qualifications
The successful candidate must:

- Possess a valid driver's license.
- Obtain and maintain Florida DBPR Division of Alcoholic Beverages and Tobacco (DABT) registration.
- Obtain and maintain required Food Handler and Responsible Alcohol Service certifications.
- Possess strong leadership, organizational, customer service, and communication skills.
- Have basic computer skills and the ability to learn and effectively utilize the Post's Point-of-Sale (POS) system.
Primary Responsibilities
Staff Leadership & Management
- Assist the House Committee in recruiting, interviewing, and maintaining adequate bartender staffing.
- Supervise bartenders while maintaining professional relationships with officers, members, volunteers, employees, and vendors.
- Train all bartenders and ensure compliance with the Bartender Standard Operating Procedures.
- Enforce employee appearance, hygiene, and professional conduct standards.
- Prepare and maintain monthly bartender work schedules.
- Provide shift coverage during emergencies or staffing shortages as needed.
- Conduct quarterly bartender meetings in coordination with the House Committee.
- Maintain complete and confidential employee personnel files, including employment records, certifications, tax forms, and disciplinary documentation.
Daily Canteen Operations
- Oversee the daily opening and closing of the canteen.
- Ensure compliance with all applicable VFW bylaws, policies, and municipal, county, state, and federal regulations.
- Enforce House and Canteen Rules for members and guests.
- Ensure daily and weekly cleaning schedules are completed.
- Verify bartenders complete all required end-of-shift and end-of-day procedures.
- Monitor the condition of equipment, furnishings, kitchen facilities, restrooms, HVAC, plumbing, and other physical assets.
- Coordinate repairs and report facility deficiencies to the House Committee.
- Correct Health Department inspection deficiencies related to canteen operations.
- Ensure incidents involving members or guests are properly documented and promptly reported to the House Committee and Post Commander.
Inventory Management
- Maintain adequate inventories of food, beverages, merchandise, and operational supplies.
- Monitor inventory levels to meet anticipated demand while minimizing waste.
- Supervise ordering and receiving of all inventory.
- Ensure proper stock rotation and storage practices.
- Maintain inventory of Post merchandise.
- Assist the House Committee with maintaining accurate monthly alcohol inventory records using invoices, POS reports, and inventory documentation.
Financial Accountability
- Become the subject matter expert for the Point-of-Sale (POS) system.
- Conduct routine audits of bartender transactions and cash banks.
- Submit all receipts and invoices to the Quartermaster in a timely manner.
- Meet regularly with the Quartermaster to transfer and deposit canteen revenue.
- Ensure all revenue from raffles, pull tabs, Queen of Hearts, and other non-POS activities is properly turned over to the Quartermaster.
- Maintain established operating cash levels subject to audit.
- Prepare and present a monthly Canteen Manager's Report, including operational updates, financial performance, and a monthly profit and loss statement.
- Maintain supporting documentation required for Trustee audits.
Authority
The Canteen Manager has authority over the day-to-day operation of the canteen under the direction of the House Committee.
The position has supervisory responsibility for bartenders but does not have independent authority to hire or terminate employees. Personnel decisions are made by the Post membership upon recommendation of the House Committee.
When immediate action is necessary to protect the Post, members, employees, or property, the Canteen Manager may temporarily suspend an employee from duties, recover Post keys, and immediately notify the Post Commander and House Committee.
Work Environment
This position requires working evenings, weekends, holidays, and special events as necessary. The Canteen Manager should be available to respond to staffing emergencies and operational issues outside of normal business hours.
Physical Requirements
The position regularly requires:
- Standing and walking for extended periods.
- Lifting and carrying up to 50 pounds.
- Moving beverage cases, supplies, and inventory.
- Operating bar and kitchen equipment.
- Working in a fast-paced hospitality environment.
