Position Overview
We are seeking a Commercial Fuel Sales & Operations Manager to develop new business, manage customer accounts, prepare delivery estimates, and coordinate the sales-to-delivery process.
This is not a traditional sales representative position. Because Diesel & DEF Delivery is an early-stage company, this role combines business development, account management, estimating, customer service, CRM administration, marketing support, and operational coordination.
The successful candidate must be able to generate new opportunities while also ensuring that customer information, pricing, delivery requirements, and follow-up activities are accurately managed.
Primary ResponsibilitiesBusiness Development
- Identify and contact prospective commercial fuel customers.
- Develop relationships with construction companies, contractors, trucking companies, fleet operators, equipment rental businesses, landscapers, generator operators, and other commercial diesel users.
- Generate leads through outbound calls, emails, local visits, referrals, networking, and digital inquiries.
- Schedule meetings and present Diesel & DEF Delivery’s services to business owners, fleet managers, operations managers, project managers, and purchasing personnel.
- Identify opportunities for recurring delivery agreements and long-term customer relationships.
- Follow up consistently on open leads, estimates, and proposals.
Lead Qualification and Estimating
- Respond promptly to website leads, telephone inquiries, emails, and customer quote requests.
- Gather the information required to prepare an accurate delivery estimate, including:
- Fuel type
- Estimated quantity
- Delivery location
- Requested delivery date
- Number of vehicles, tanks, or pieces of equipment
- Site access requirements
- Delivery frequency
- Special scheduling or operational requirements
- Prepare customer estimates using current fuel acquisition costs, company margin requirements, delivery distance, service requirements, and site conditions.
- Present estimates clearly and answer customer questions regarding service and delivery.
- Negotiate pricing within established company guidelines and obtain approval when exceptions are required.
Account Management
- Build and maintain professional relationships with new and existing commercial customers.
- Maintain regular communication with active accounts and confirm that service expectations are being met.
- Identify opportunities to increase delivery volume, add locations, service additional equipment, or establish recurring delivery schedules.
- Assist customers with account setup, vendor registration, contracts, credit documents, and other onboarding requirements.
- Address customer concerns and coordinate an appropriate response with company ownership and operations.
Delivery and Operations Coordination
- Coordinate customer delivery requirements with the owner, driver, and other operational personnel.
- Confirm that each delivery request includes accurate information regarding location, fuel type, quantity, equipment count, access instructions, contact information, and timing.
- Communicate schedule changes or special customer requirements to the appropriate team members.
- Help ensure that commitments made during the sales process can be completed safely and operationally.
- Maintain clear records of customer agreements, delivery expectations, and recurring service requirements.
CRM and Sales Administration
- Maintain accurate lead, customer, estimate, and follow-up information in the company CRM.
- Document calls, emails, meetings, pricing discussions, and customer commitments.
- Maintain an organized sales pipeline and ensure that leads receive timely follow-up.
- Track estimates, account status, expected delivery volume, and sales results.
- Create and maintain customer communication templates, estimating procedures, and sales workflows.
- Provide regular updates regarding pipeline activity, new accounts, open estimates, and customer issues.
Marketing Support
- Assist with digital advertising, website lead management, email outreach, and local business development campaigns.
- Help evaluate lead quality and identify which marketing channels produce qualified commercial customers.
- Support improvements to website messaging, quote-request forms, advertisements, and customer-facing materials.
- Represent Diesel & DEF Delivery professionally at relevant networking events, customer meetings, and industry functions when appropriate.
Performance Expectations
Performance may be evaluated using factors such as:
- Qualified commercial opportunities generated
- New recurring accounts established
- Gross profit produced by new accounts
- Estimate response and follow-up time
- Customer retention and account growth
- CRM accuracy and pipeline management
- Quality of customer handoff and delivery coordination
- Compliance with established pricing and margin guidelines
Required Qualifications
- At least two years of business-to-business sales, account management, logistics, fleet service, construction service, or related experience.
- Strong written and verbal communication skills.
- Demonstrated ability to generate leads and develop professional business relationships.
- Ability to calculate pricing, margins, mileage charges, and service costs accurately.
- Strong organizational skills and attention to detail.
- Ability to manage multiple leads, estimates, customers, and delivery requests.
- Comfortable working independently in an early-stage company with evolving procedures.
- Experience using CRM software or another structured sales pipeline system.
- Valid driver’s license and ability to travel locally for customer meetings.
Preferred Qualifications
- Experience selling to construction companies, trucking companies, contractors, equipment operators, or fleet managers.
- Experience in fuel distribution, petroleum, logistics, transportation, construction services, or fleet operations.
- Experience preparing estimates or proposals for commercial customers.
- Experience supporting Google Ads, website leads, email marketing, or local business outreach.
- Familiarity with on-road diesel, off-road diesel, DEF, commercial equipment, generators, or fleet fueling.
Compensation
Base salary: $25-$35/hr, depending on experience.
Additional commission or performance compensation may be available based on collected gross profit from qualified new accounts personally developed by the employee.
The final commission structure, payment period, account eligibility requirements, and treatment of existing or inbound accounts will be documented in the employment offer and compensation agreement.
Ideal Candidate
The ideal candidate is proactive, commercially minded, organized, and comfortable taking ownership of the entire customer-development process.
They can identify a prospect, establish contact, understand the customer’s fueling requirements, prepare an accurate estimate, follow up professionally, close the account, document the agreement, and coordinate a successful handoff to operations.
This position is best suited for someone who wants to help build the sales and account-management infrastructure of a growing company rather than work within a fully established corporate sales system.
