RDMS Payroll Associate
RDMS is a boutique accounting firm based in the San Francisco Bay Area, focused on the restaurant and hospitality industry.
We provide full back-office support to our clients, with payroll processing being one of the most critical components of client success and accurate financial reporting. This role is part of a structured, deadline-driven workflow that requires strong payroll experience, attention to detail, organization, follow-through, and clear communication.
We are looking for someone who has direct payroll-processing experience, takes ownership of their work, can manage multiple client deadlines, and understands the importance of accuracy in a client-facing payroll environment.
This is a remote position and does not require the employee to be located in California or the Bay Area. However, the role does require availability during standard Pacific Time business hours, generally 9:00 AM to 5:00 PM PST.
About the Position
The Payroll Associate is responsible for executing payroll processing across multiple RDMS clients. This role works within established systems and workflows to ensure payroll is completed accurately and on time each pay period.
Unlike an internal payroll role for one large company, this position supports multiple restaurant and hospitality clients, each with its own deadlines, payroll setup, employee records, administrative habits, and follow-up needs.
The right candidate must be comfortable managing payroll across multiple entities and working through incomplete, late, or inconsistent client information when needed.
Core Responsibilities
· Own and process payroll for multiple assigned clients according to RDMS procedures and deadlines
· Maintain payroll records for multiple clients, including new hires, terminations, direct deposits, pay rates, deductions, garnishments, and other employee-level updates
· Review and audit time and attendance data for accuracy prior to processing
· Import and enter payroll data into payroll systems, including ADP Run, ADP WFN, Paychex Flex, and other software as required.
· Process payroll details including hours, rates, tips, deductions, and other required adjustments
· Identify missing, incomplete, or inconsistent payroll information and follow up until resolved
· Prepare and distribute payroll previews for client review prior to submission
· Communicate professionally with clients and internal team members to resolve payroll questions or missing information
· Maintain organized payroll records by client, including pay period, quarterly, and annual documentation
· Download, review, and organize payroll reports after processing
· Assist with payroll-related reporting, including workers’ compensation audits
· Support the preparation of payroll-related journal entries
· Help ensure payroll tasks and documentation are clearly tracked through RDMS systems
What This Role Requires
· Strong direct experience processing payroll in ADP or Paychex
· Ability to manage multiple clients, pay schedules, and deadlines without losing track of work
· Strong attention to detail and commitment to payroll accuracy
· Ability to follow structured processes and workflows consistently
· Clear and professional communication with both clients and internal team members
· Ability to identify issues, missing information, and inconsistencies, then follow up through resolution
· Comfort working in a system-driven environment, including task tracking, documentation, and payroll platforms
· Ability to work remotely while remaining available and responsive during Pacific Time business hours
· Comfort working with clients whose payroll administration may not always be clean, complete, or timely
Skills and Qualifications

Experience Requirements
· Prior hands-on payroll processing experience is required
· Experience with ADP Run, ADP WFN, or Paychex Flex is required
· Experience processing payroll for multiple entities, clients, locations, or pay groups is strongly preferred
· Restaurant or hospitality payroll experience is strongly preferred
· Experience with tips, multiple departments, hourly employees, overtime, payroll adjustments, or high-volume employee changes is beneficial
· Experience supporting payroll reporting, workers’ compensation audits, or payroll journal entries is beneficial

Pay: $30.00 - $33.00 per hour
