Duties
- Greet clients warmly and assist with check-in and check-out procedures, ensuring a positive first impression
- Manage multi-line phone systems with professionalism, providing information and scheduling appointments efficiently
- Schedule appointments using computer software, confirming bookings and accommodating client preferences
- Handle client inquiries via phone, email, or in person with excellent communication skills and friendly demeanor
- Maintain organized filing systems for client records, treatment logs, and administrative documents
- Support office management tasks such as inventory tracking, supply ordering, and maintaining cleanliness of the reception area
- Proofread and update promotional materials or appointment reminders to ensure accuracy and clarity
Experience
- Previous office management or administrative experience in a customer service environment preferred
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel) and general office software applications
- Experience with multi-line phone systems, phone etiquette, and front desk operations essential
- Demonstrated clerical skills including typing, proofreading, filing, and data entry required
- Bilingual abilities are highly desirable to serve a diverse clientele effectively
- Excellent organizational skills with the ability to multitask efficiently in a fast-paced setting
- Prior experience in personal assistant roles or customer support positions is advantageous
