OVERVIEW
The Housing Intake Coordinator plays a key role in both the front-end experience of the program and the day-to-day operations of the housing units. This role is a mix of admin and hands-on, with no two days looking the same. One day may involve reviewing referrals, coordinating interviews, and welcoming a new participant into the program; the next may include preparing an apartment for move-in, coordinating maintenance, or supporting a client through a transition out of the program.
This person is responsible for ensuring intake documentation is complete and compliant, walking a unit to ensure it’s move-in ready, picking up supplies, or stepping in to handle unexpected needs. This role is ideal for someone who is highly organized, proactive, and not afraid to jump in wherever needed to support both the program and the young adults it serves.
While this role is based out of our Bellflower office, there is a field-based component serving clients within Bellflower and Lakewood.
JOB DUTIES AND RESPONSIBILITIES
- Monitor referral communications daily and respond to DCFS/Probation inquiries, vacancy questions, and placement updates within required county and Olive Crest timelines.
- Review and screen THPP-NMD applications to determine program eligibility and provide timely status updates to referral partners.
- Coordinate orientations, interviews, and intake meetings in collaboration with the Program Director, ensuring participants understand program expectations and complete required documentation.
- Coordinate move-in and move-out processes, ensure units are ready, intake procedures are completed, and participants receive appropriate orientation to housing and safety protocols.
- Maintain organized client records, including electronic documentation uploads, binder creation, and compliance with DCFS and agency standards.
- Complete required weekly and monthly program reports, including occupancy and referral logs, by established deadlines.
- Oversee residential unit operations, including bi-monthly walkthrough inspections, maintenance coordination, vendor scheduling, inventory management, and key control systems.
- Serve as the primary liaison with property managers and housing partners, maintaining positive working relationships and coordinating unit access and compliance needs.
- Support annual DCFS inspections and audits through internal unit inspections, documentation, and timely follow-up on corrective actions.
- Participate in a rotating on-call schedule to provide 24/7 participant support as required by program policy.
- Collaborate closely with case managers and program staff to support participant stability, respond to concerns, and ensure timely follow-through on housing-related needs.
REQUIRED QUALIFICATIONS
- Must have a Bachelor’s Degree in Social Work, Human Services, Psychology, Counseling, or related field, with a minimum of one year of experience working with youth in foster care or similar populations within trauma-informed environments.
- Minimum one year working within child welfare and family systems, and/or trauma-informed work.
- Familiarity with supportive housing programs and/or experience working with DCFS or county-contracted services
- Must obtain and maintain record clearance free from criminal convictions.
- Must have and maintain a valid California Driver License, auto insurance, and clean driving record in accordance with Olive Crest’s auto insurance policy.
- Must have CPR and First Aid certification upon hire and maintained throughout employment
- Computer skills necessary (proficiency in Word, Excel, Outlook, Adobe).
- Comfortable spending significant time driving as part of regular duties.
- Strong interpersonal skills with the ability to build rapport and maintain professional relationships with clients, coworkers, and community partners.
- Ability to manage multiple priorities, including intakes, reporting deadlines, inspections, and follow-up tasks in a fast-paced, deadline-driven environment.
- Highly proactive, solution-focused mindset with the ability to identify concerns early and support client stability and program compliance.
- Must have a philosophy of support for abused children in line with values, mission and treatment philosophy of Olive Crest.
PREFERRED QUALIFICATIONS:
- Previous experience working in a THPP-NMD, transitional housing, supportive housing, or residential services program.
- Experience completing compliance documentation, audits, or unit inspections in accordance with CCL and DCFS standards.
- Training or certification in crisis intervention, de-escalation, trauma-informed care, or similar supportive service areas
- Knowledge of housing operations, including coordinating maintenance requests, vendors, and move-in readiness.
