THE POSITION
Description: The purpose of this position is to create a strategic event plan for MidAmerica event space and to manage the arrangement, coordination and supervision of events including contacts and permits for the District, Bunker, the MidAmerica Expo, and well as all District annual events. This position will also serve as a liaison between MidAmerica and the City of Pryor working with several organizations. The event coordinator will assist in marketing and manage all event related communications including coordination of media with MidAmerica Marketing personnel.
Reports to: Director of Business Development
This position will be full-time work week with a flexible schedule at times requiring nights, weekends, and holiday hours.
KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS
- Develop and implement a comprehensive event schedule and plan for The District.
- Assist with setting and maintaining the annual budget for the District expenses.
- Seek out sponsorships, donations, grants, and volunteer organizations to help offset event costs.
- Assist in development of annual activities/events within the Park and annual District events sponsored by MAIP.
- Provide administration of event license agreements.
- Assist and manage The District tenants including new business attraction and recruitment, as well as acting as the point of contact for tenants when problems arise.
- Manage and maintain www.lifeatthedistrict.com website, including calendar of events.
- Coordinate with the media to disseminate advertising. Respond to requests for information from the media or designate an appropriate spokesperson such as MidAmerica’s Marketing firm.
- Develop and assist in the creative content of all printed marketing materials for MidAmerica rental space and The District.
- Develop and maintain relationships with the City of Pryor including Pryor MainStreet and Pryor Area Chamber of Commerce. Assist in the coordination and development of a comprehensive city event calendar.
- Manage rental space of The Bunker at The District & MidAmeirca Expo overseeing lease agreements and working with the Contract Administrator for all required paperwork.
- Inspect event facilities to ensure they conform to customer requirements, noting any damage to the building or equipment.
- Responsible for event set-up and tear-down at all venues.
- Coordinate with the Facilities Custodian for cleaning of each facility based on events that are scheduled.
- Coordinate with the Facilities Superintendent for any special outside cleaning or maintenance issues.
- Responsible for keeping the Marketing office and Welcome Center neat and tidy appearance at all times, as impromptu meetings can arise.
- Responsible for opening and closing the Bunker and the MidAmerica Expo before and after scheduled events.
- Demonstrate proficiency of audio-visual equipment and technology at all venues. Training may be required.
- Maintain an inventory list for the Bunker, Welcome Center, and Marketing Office.
- Share and coordinate with Administrative Assistant to cover meetings or events when necessary/required or not available.
- Other duties as required.

Pay: $38,000.00 - $45,000.00 per year
