PRINCIPAL MISSION:
To perform diversified secretarial and administrative duties for the Quality Assurance/ Risk Management Department.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
- Demonstrates excellent customer services for internal and external customers and with fulfilling the philosophy, vision, mission of SBH
- Promote a safe, cooperative and professional health care environment to ensure optimum patient care (as per HR Policy 113c).
- Handles the logistical, clerical, inventory, maintains filing systems with regards to strict confidentiality of these files
- Fosters strong collaboration and interaction with all the stakeholders internally and externally
- Streamlines office supply procurement process and keep within budgetary guidelines
- Able to problem solve and detail oriented
- Promotes team spirit among the various team members for the hospital and the community
- Demonstrates the ability to be organized and be able to provide administrative support to the department
- Creates invoices and submits as required through the Oracle system
- Adheres to confidentiality and promotes strong work ethics
- Demonstrates strong work ethics and reliable
- Adheres to all hospital policies, procedures, rules and regulations, including but not limited to, absenteeism, ETIME, cellular telephone usage, dress code and rules of conduct.
- Maintains up-to-date files for the Quality and Risk Department: Including set up, preparation and maintenance of new and existing filing systems/folders
- Duties will include but not limited to drafting legal documents, and entering into office secured shared drive
- Organize and with strong organizational skills and attention to details and have the ability to handle volume
- Create Excel spreadsheets for tracking and monitoring of documentation, internal and external measures as applicable to risk and quality
- Prepares and processes invoices for the Quality and Risk Department
- Distributes correspondence as necessary
- Opens, dates, reviews and distributes all internal and external mail. Conveys priority items to the attention of the Risk Management Director and V/P Chief Quality Officer
- Creates logs and follows through with all IPRO Quality Concerns including contacting physicians for responses, sending responses and meeting all identified deadlines.
- Assists the QA Coordinators as needed
- Assists with the day-to-day operations of both the Quality and Risk
- Assists in updating Administrative P&P via policy management software system
- Assists in the organization and operation of Quality Improvement initiatives.
- Assists in the preparation of minutes of meetings such as, but not limited to, Board of Trustees Joint Conference Committee Meeting and the Executive Quality Assurance/Performance Improvement Committee.
- Medical Examiner (ME) Report Management and notifying the Trauma
Team upon receipt of ME reports for trauma patients
- Legal Processing and Litigation Support. Accepting all Summons and Complaints served to Risk Management, including Order to Show Couse and Bronx District Attorneys Summons
- Invoices for Policy Manager Subscription, DWeb Incidents
- Litigation-Related Requests, processing request for medical records, handling litigation billing requests, and requesting litigation radiology study requests
- Administrative support for Quality and Risk Management and comfortable working and achieving deadlines
- Regulatory survey preparation and collecting required documentation

QUALIFICATIONS:
Education Required: High School Diploma. Preferred: Associate Degree Training in secretarial science/word processing
License(s) Required: None
A. Experience/Skills Required: Types a minimum of 55+ wpm, filing and B. Organizational skills: previous secretarial experienceC. Knowledge: Microsoft Office including Word, Excel, PowerPoint and Access D. Communication: Must have effective communication skills.
WORKING CONDITIONS:
A very busy office, which requires the multi tasking and the coordination and of demands and needs from multiple departments and services.
This is a full time in the office position. No remote days.
