Job Summary
The Human Resources Administrative Assistant provides administrative and clerical support to the Human Resources department in a fast-paced manufacturing environment. This position assists with recruitment, onboarding, employee record management, benefits administration, payroll support, and compliance while maintaining confidentiality and delivering excellent customer service to employees and management.
Essential Duties and Responsibilities
- Provide administrative support to the HR department and plant leadership.
- Assist with recruiting activities, including posting job openings, scheduling interviews, and communicating with candidates.
- Coordinate new hire onboarding, orientation, and completion of employment documentation.
- Maintain accurate employee personnel files and HR databases in compliance with company policies and legal requirements.
- Process employment-related paperwork, including status changes, transfers, promotions, and terminations.
- Assist with timekeeping, attendance tracking, and payroll preparation.
- Respond to employee inquiries regarding company policies, benefits, leave requests, and HR procedures.
- Support benefits enrollment, open enrollment activities, and workers' compensation documentation.
- Prepare reports, spreadsheets, correspondence, and other HR-related documents.
- Maintain confidentiality of employee information and sensitive company records.
- Assist with training coordination, employee recognition programs, and company events.
- Ensure compliance with federal, state, and local employment laws, OSHA requirements, and company policies.
- Order office and HR supplies and maintain organized filing systems.
- Greeting visitors at the front desk and answering company phone
- Perform other administrative and HR-related duties as assigned.
Qualifications
- High school diploma or GED required; Associate's degree in Human Resources, Business Administration, or a related field preferred.
- Minimum of 2 years of administrative experience; HR experience in a manufacturing environment preferred.
- Knowledge of HR practices, employment laws, and confidentiality standards.
- Bilingual in English and Spanish is preferred but not required.
- Experience with HRIS, payroll, and Microsoft Office applications (Word, Excel, Outlook).
- Strong organizational, communication, and time management skills.
- Excellent attention to detail and accuracy.
- Ability to prioritize multiple tasks in a fast-paced manufacturing environment.
- Professional demeanor and strong customer service skills.
- Ability to handle confidential information with discretion.
Physical Requirements
- Prolonged periods of sitting, standing, and working at a computer.
- Occasional walking throughout the manufacturing facility.
- Ability to lift up to 20 pounds occasionally.
Work Environment
- Office setting within a manufacturing facility.
- Regular interaction with production employees, supervisors, managers, and external applicants.
