We're looking for an Events and Partnerships Coordinator to help keep our events team organized, on track, and running smoothly. Working closely with the Events and Partnerships Manager, you'll play a critical role in supporting the planning, logistics, communication, and administrative work behind some of the most recognized events and organizations in the industries we serve.
This role is ideal for someone who enjoys organization, planning, problem-solving, and keeping projects moving forward. You'll work across multiple initiatives simultaneously, supporting event logistics, sponsorship programs, travel coordination, documentation, and internal communication while helping ensure commitments are fulfilled accurately and on time.
While the events themselves may happen at race tracks, trade shows, and off-road destinations throughout the country, much of their success begins with strong planning, organization, and follow-through behind the scenes.

Each year, Rugged Radios supports more than 100 races, trade shows, recreational gatherings, sponsorship programs, and community events across North America. These events help us connect with racers, customers, dealers, ambassadors, and industry partners while keeping our brand closely tied to the communities we serve.
Event & Program Coordination
● Maintain event schedules, calendars, project timelines, and department deadlines.
● Support planning and coordination for more than 100 events annually.
● Prepare event planning documents, schedules, checklists, and support materials.
● Track event commitments, sponsorship obligations, and activation requirements.
● Help ensure company programs and event commitments are executed successfully.
Logistics & Administration
● Coordinate travel, lodging, shipping, and logistical arrangements for event personnel and event teams.
● Manage permits, insurance certificates, vendor paperwork, and other event-related documentation.
● Track event expenses, purchasing requests, invoices, and department records.
● Maintain organized files, contracts, records, and department documentation.
Communication & Collaboration
● Coordinate communication and project updates between departments, event teams, sponsors, promoters, and partners.
● Support the Events & Partnerships Manager with planning, reporting, research, and special projects.
● Work closely with Sales, Marketing, Customer Service, and other internal teams to keep projects moving forward.
● Help identify and resolve issues before they impact timelines or deliverables.
Required
● 2+ years of experience in administrative support, project coordination, operations support, event coordination, or a related role.
● Exceptional organizational skills and attention to detail.
● Strong written and verbal communication skills.
● Ability to manage multiple projects and deadlines simultaneously.
● Proficiency with Google Workspace, Microsoft Office, spreadsheets, and business software platforms.
● Ability to work independently while contributing effectively as part of a team.
● Strong problem-solving skills and a proactive approach to identifying and resolving issues.
Preferred
● Experience supporting events, sponsorships, partnerships, marketing programs, or project-based teams.
● Experience working with contracts, budgets, purchasing, or project tracking systems.
● Experience in off-road, motorsports, powersports, outdoor recreation, or related industries.
